Construction and installation: Invoicing software for stair renovation contractors

Invoicing software for stair renovation contractors: the invoice is built from the signed off staircase, settled conditions and the deposit already held in the same software, and goes to the customer with a payment link.

Where invoices stall for stair renovation contractors.

After renovation day an invoice has to go out, but what exactly to charge is scattered. The quote lists the agreed finish, the condition for an extra paint layer sits on the job card, and a remedial item for a short profile is still open. Stair renovation contractors who invoice straight after handover sometimes send a bill while the customer is still waiting for a return visit, which delays payment. Those who wait until everything is done see invoices sit for weeks. A deposit taken on acceptance has to be deducted properly, and whoever retypes lines from the quote into a separate invoicing program regularly gets them wrong. After that someone still has to track which customer has paid.

Example
  1. 1

Staircase, job card and deposit together

    Done

The invoice starts from the accepted quote and the chosen option, already held in the software.

  2. 2

    Review deviations from the quote

    In progress

If the job card differs from the quote, for instance because a handrail was not fitted or extra work was added, the draft invoice flags that difference.

  3. 3

    Send invoice with payment link

    Next

Once approved, the invoice goes from the software to the customer with the right lines, VAT, a reference to the job and a payment link.

From finished work to paid invoice.

Staircase, job card and deposit together

The invoice starts from the accepted quote and the chosen option, already held in the software. Added to that is the signed job card with any conditions that were applied, such as removing an unexpected paint layer. An earlier deposit is deducted automatically, with a reference to the invoice on which it was paid.

Review deviations from the quote

If the job card differs from the quote, for instance because a handrail was not fitted or extra work was added, the draft invoice flags that difference. Someone in the office decides whether it goes on the invoice or needs discussing with the customer first. Open remedial items are visible, so it is clear whether invoicing can happen now.

Send invoice with payment link

Once approved, the invoice goes from the software to the customer with the right lines, VAT, a reference to the job and a payment link. If payment does not arrive, reminders follow automatically. The job shows whether the staircase has been paid, so nobody has to go through bank statements for it.

Invoicing from the same software.

Practically every stair renovation contractor now works with an accounting package or invoicing program into which lines from the quote are typed again. With invoicing in the same software as quotes, job cards and remedial items, that retyping disappears and payment status sits next to the staircase. The bookkeeper can look along or receive an export of invoices and payments. If they use a fixed split for materials, labour and extra work, we apply that split to the invoice lines so revenue per type of work stays visible.

Invoice at handover or after remedial work

Invoicing right after renovation day keeps cash moving but causes friction if a remedial item is still open. Waiting until everything is done can take weeks. A middle way is invoicing at handover with a small part placed on a second invoice after the return visit, so the customer sees the remedial work is taken seriously.

Deposit or everything afterwards

A deposit on acceptance covers buying treads and profiles that are cut to size and cannot be returned. Invoicing everything afterwards is friendlier to the customer but leaves you carrying the risk. Because treads are cut to size, many stair renovation contractors take a deposit with its own payment link, which the software deducts on the final invoice.

Extra work separate or on one invoice

Extra work arising on renovation day can go on the same invoice or a separate one. One invoice is clearer for the customer, provided the extra work was listed as a condition in the quote. If it came up unexpectedly, a separate line with an explanation and a reference to what was agreed with the customer is clearer.

What we set up for your invoicing.

From the start you create invoices from the accepted quote and the signed job card, with the deposit deducted, deviations flagged, a payment link and reminders on your own terms. Before you go live, we walk through a renovation that went exactly as quoted, and one with a settled condition and a remedial item still open. The overview of signed off staircases without an invoice is there straight away, and we prepare the export for your bookkeeper in the layout they use.

Can the customer pay the invoice online straight away?

Yes. Every invoice goes out with a payment link, through the payment provider you choose at the start. When the customer pays, the renovation is marked as paid. If payment does not arrive, reminders go out automatically with the original invoice and the link attached.

Who approves the invoice before it is sent?

You decide. Often someone in the office does it, with the surveyor on hand when there is a difference from the quote. An invoice only goes to the customer once approved, so nothing leaves without a person having seen it.

How is a return visit invoiced?

Usually it is not, because remedial work falls within the agreement. If the repair results from something outside your control, such as water damage after handover, it becomes a separate job with its own quote. The software keeps the two apart, so warranty work never ends up on an invoice by accident.

Can we see which staircases have not been invoiced or paid?

Yes. An overview shows which renovations are signed off but have no invoice yet, and why: an open remedial item, a difference awaiting review or a draft nobody has approved. You also see which invoices are still open and which reminder has already been sent.
