Repairs and specialist services: Scheduling software for sailmakers

Scheduling software for sailmakers that coordinates survey visits in marinas, floor space in the sewing workshop and fitting appointments on board, so sails are ready in time for the season.

Scheduling software for sailmakers. A schedule that compares resources and availability, then confirms an appointment. Example with demonstration data.

What makes scheduling hard for sailmakers.

Sailmakers schedule three kinds of work, each with its own constraints. A survey visit depends on where the boat is, whether it is afloat or ashore and whether the owner can be there. The sewing workshop has limited floor space: laying out a large mainsail blocks the floor for other work. And fitting on board means going back to the boat, sometimes in a different marina from the survey. Autumn and winter bring plenty of orders, but everything has to be ready when boats are launched in spring. Without a joined up overview, delivery dates get promised that ignore who needs to be in which marina when.

    Record the work per order

Each order lists the steps it needs: survey, pattern, cutting on the floor, sewing, fitting hardware and fitting on board.

  2. 2

    Align visits and workshop

    In progress

Survey and fitting visits are grouped by marina, so one trip serves several boats.

  3. 3

    Confirm delivery and fitting

Once the work is scheduled in the loft, the system proposes a delivery date and fitting slot that match when the boat can be reached.

From job to confirmed appointment.

Record the work per order

Each order lists the steps it needs: survey, pattern, cutting on the floor, sewing, fitting hardware and fitting on board. For each step it shows the expected duration and whether it happens on board, on the floor or at a machine. It also notes where the boat is moored and whether it is afloat or ashore.

Align visits and workshop

Survey and fitting visits are grouped by marina, so one trip serves several boats. In the loft the planner sees per day who is working on the floor, which sail is laid out and which machine is busy. A large sail gets a floor block, and smaller covers fit around it. The floor never sits full without reason.

Confirm delivery and fitting

Once the work is scheduled in the loft, the system proposes a delivery date and fitting slot that match when the boat can be reached. The owner confirms the fitting. If the launch date moves or the boat is elsewhere, the planner immediately sees which appointments need to shift.

Alongside your calendar and your team.

At many sailmakers the schedule is a diary for visits and a board in the loft for sewing work. We take orders from the accepted quote and bring visits and loft work into one overview. The sailmaker keeps control of the order of work in the loft; the owner provides the mooring and availability. An existing calendar on the phone can keep showing visits, so nobody on the road has to look in two places.

By approval date or launch date

Working in order of approval is simple, but an owner launching early in spring may end up behind someone who will not sail until summer. Planning by launch date requires that date to be known and accurate. Many sailmakers ask for it on approval and plan around it, leaving room for those whose dates shift.

Group surveys by marina or per customer

Grouping by marina saves travel, but an owner sometimes waits until enough boats in their marina need a visit. Measuring per customer is faster for the owner and costlier for the loft. A regular marina round with room for urgent cases in between combines both. The board shows how many enquiries are waiting per marina.

Fit on board or let the owner install

Fitting on board gives the sailmaker certainty that the cover or sail sits well and room to make small changes on the spot. Letting the owner install is cheaper, but a wrongly placed press stud then becomes a complaint. Many sailmakers always fit covers themselves and let owners rig sails on well known classes.

What we set up in the schedule.

The board shows survey and fitting visits per marina, floor blocks and machines in the loft and a delivery date per order. Your marinas and the capacity of the cutting floor are recorded at the start. Before launch we play through an ordinary winter week, and a boat that is launched earlier than planned, so a fitting has to move forward. Messages to owners when dates shift and suggested marina routes can be added once it runs.

Can the schedule account for boats ashore and afloat?

Yes. Each order notes whether the boat is ashore or afloat and when that changes. Some measurements or fittings are easier ashore, others only possible afloat with the mast up. The planner sees that when booking a visit.

How do we plan around large sails that need the whole floor?

A large sail gets a floor block for laying out and cutting. No other large piece can be on the floor during that time, but work on smaller covers can continue at the machines. The board shows floor and machines separately, so you see where there is still room.

What do owners see of the schedule?

Owners see their own survey and fitting appointments and the expected delivery date. They can confirm an appointment or say the boat is moored elsewhere. The full schedule with other customers and loft work stays internal.

Does this work when several sailmakers are out visiting?

Yes. Each sailmaker has their own row for visits and loft work. When someone goes to a marina, the planner sees which other orders are in that marina or along the way. That stops two people driving to the same marina on the same day.
