Repairs and specialist services: Inventory software for sailmakers
Inventory software for sailmakers that tracks sailcloth, cover canvas and marine hardware, with reservations per order so an approved colour or stainless fitting never suddenly runs out.
Where stock drifts for sailmakers.
Sailmakers work with expensive and varied stock. Sailcloth comes in different weights and constructions, cover canvas in many colours, and there are rolls of clear window film too. Marine hardware is even more varied: rings, slides, press studs, fasteners, stainless tubing and fittings in all sorts of sizes. An owner approves a cover in a particular colour, and only at cutting does it emerge that the roll is nearly empty and the supplier has no more until after summer. Or slides get ordered that were already in stock, because nobody knew they were in another box. Hardware for a specific mast section is often not available straight away in the right size.

Register cloth and hardware clearly
Every roll of sailcloth, canvas or film is registered with type, weight, colour, width and remaining length. Hardware is listed by kind and size, with material and location. Slides and rings often come in near identical sizes; a photo and the matching mast groove or section prevent mix-ups.
Reserve when the owner approves
As soon as the owner approves cloth and hardware, the system reserves the length needed from the roll and the parts for that order. Other quotes then see that amount is no longer free. If there is too little, an order flag appears with the planned cutting date, so the buyer knows how much time there is.
Update usage and remnants
After cutting, the sailmaker reports the length actually used, and after finishing, the hardware fitted. The system updates stock and releases unused reservations. Usable remnants, such as a strip of canvas for a small cover, are recorded with size and colour.
Alongside your purchasing and suppliers.
At many sailmakers stock is known to one or two people and kept partly in a spreadsheet or the accounting package. We take over the existing item list and link it to the quote and job card, so reserving and reporting use fit into the normal flow of work. Supplier orders carry on as now. The buyer manages items, suppliers and lead times; the sailmaker reports usage.
Colours in stock or ordered per job
Keeping popular canvas colours in stock allows short lead times. Ordering rare colours per job stops expensive rolls sitting for years. Usage per colour over a few seasons shows which belong in stock. The decision stays with the buyer, but based on what is actually used rather than memory.
General stock or hardware per boat
Hardware can be held as general stock or ordered per job for a specific boat. General stock is faster, but a slide for an unusual mast section is rarely on the shelf. Ordering per boat is certain but slower. Many sailmakers keep a basic range and order unusual sizes as soon as the owner approves.
Keep remnants or write them off
Keeping sailcloth and canvas remnants takes space and time, but provides material for small covers, reinforcements and repairs. Writing everything off keeps the loft clear but throws away usable cloth. A fixed minimum size and recording by colour and type make keeping them workable, even in a loft where floor space is tight.

Rolls and hardware are registered, with reservations as soon as the owner approves, order flags with the planned cutting date and usage reported from the job card. The existing item list is brought over at the start. Together we go through an ordinary cover in a stocked colour, and an approved colour where the roll turns out too short, so the owner has to choose an alternative. Remnants and a seasonal usage overview can be set up later.

Explore pricing and optionsHow do we stop slides and rings getting mixed up?
Every item has its own record with photo, size and the section or mast groove it fits. Boxes and drawers get a fixed place and code. When reserving, the sailmaker sees the photo, so they are not relying on an item name alone.
Can stock take supplier lead times into account?
Yes. You can enter the usual lead time per item. With an order flag, the buyer sees whether delivery can arrive before the planned cutting date. If not, that is the cue to talk to the owner about an alternative cloth or a later date.
What if an owner changes colour after reservation?
The reservation on the old colour lapses and the new colour is reserved if available. If cutting has already happened, the cut cloth is recorded as a remnant. The change stays in the order history, so it is clear why cloth was used without a finished product.
Does stock include film for windows?
Yes. Clear film for cover windows has its own record, because thickness and quality vary and rolls scratch easily. On reservation the length needed is worked out per window, so you know whether a roll has enough for a cover with several windows.
