Manufacturing and processing: Enquiry form for rubber manufacturers
An enquiry form for rubber manufacturers that asks for the profile drawing, hardness, application and expected volume, so the technical review can start right away.
What makes an enquiry complete for rubber manufacturers.
At rubber manufacturers, an enquiry often arrives as a photo of a worn seal or a short length of profile in an envelope, asking whether you can make this. There is no drawing, the hardness is unknown and nobody knows whether the part has to withstand oil, ozone or heat. Sometimes a buyer sends a drawing without tolerances, or with tolerances that are not achievable in rubber. The expected volume is missing, even though that decides whether a mould is worth the investment. The technical department first has to find out what the customer actually needs. A form that asks for drawing, hardness, application and volume turns a vague question into an enquiry you can price.

From form to assessed enquiry.
Product form and application
The form first asks what the customer is looking for: a profile, a moulded part, a ring or a die-cut part. Then comes the application: indoors or outdoors, contact with oil, fuel, water or food, and the temperature range. Those answers decide which follow-up questions about compound and certificates appear on screen.
Drawing, hardness and volume
The customer uploads a drawing or, if there is none, photos with dimensions, and indicates whether a sample can be sent. They enter the required hardness or choose unknown, and give an expected volume per year and per call-off. Without a drawing, the form asks which dimensions are critical.
Handover to the technical department
The enquiry arrives complete, with drawing, application, hardness, volume and a flag on anything unknown. The technical department sees in one go whether an existing profile might do or new tooling is needed, and only follows up on what is genuinely missing.
Enquiries in one place, not the inbox.
Enquiries reach rubber manufacturers by email, phone, a generic contact form and sometimes a large customer's purchasing portal. The new form replaces the contact form and delivers enquiries to the mailbox or order system you use. Drawings stay attached to the enquiry. The drawing and specification remain the customer's property; you use them to assess the enquiry and keep them in line with your own arrangements.
Require a drawing or allow a sample
A drawing with dimensions and tolerances is the best basis, but many customers only have an old part. Sending a sample is then the only way, but it means measuring and sometimes analysing the compound. Let the form accept both and make clear that a sample takes longer and may involve extra cost.
State the hardness or ask for advice
A design engineer knows what hardness they need; a buyer often does not. Let the customer enter a value or request advice based on the application. When advice is requested, the technical department chooses and records that choice in the quote, so the customer knows why that hardness was selected.
Ask about volume or skip it
Customers sometimes find a question about annual volume intrusive, but without it you cannot judge whether a mould will pay for itself. Explain in the form why volume matters and let them pick a range rather than an exact number. That gives enough to go on for a first assessment.

At the start, the form is ready with questions per product form and application, uploads of drawings or photos, the question about hardness and volume, and the handover to mailbox or order system. Together we send an ordinary request for a profile to drawing through it, and an exception: a customer with only a worn seal, unknown hardness and oil contact. Registering samples and passing the enquiry to the quote you switch on afterwards.

Explore pricing and optionsWhat if a customer has no drawing?
Then they can upload photos with dimensions and indicate they can send a sample. The form asks which dimensions are critical. The technical department judges whether that is enough or whether the sample is needed to produce a drawing.
Can customers say they need a certificate?
Yes. Under application, the customer can indicate which documents they need, for example for contact with food or drinking water. The technical department sees that straight away and can check whether a compound with that documentation is available.
How do we deal with tolerances that cannot be achieved?
The form records the tolerances as the customer states them. The technical department reviews them and indicates in the quote which tolerances are achievable. That way the discussion happens before production, not after the first delivery.
Does this work for regular customers with a purchasing portal?
Regular customers who order through their own portal keep doing so. For new items or changes they can use the form, or we make sure enquiries from their portal end up in the same overview, so there is one list of open enquiries.
