Manufacturing and processing: Quotation software for rubber manufacturers

Quotation software for rubber manufacturers that brings tooling costs, compound, batch size and start-up scrap into one calculation and records the technical assumptions for each item.

Quotation software for rubber manufacturers. A quotation that brings assumptions, calculation and approval together. Example with demonstration data.

Where quotes for rubber manufacturers get stuck.

A quote at rubber manufacturers has two parts that often get muddled: one-off tooling costs and a price per piece or per metre that depends on compound, batch size and cycle time. On a small batch, start-up scrap weighs heavily; on a large one, the compound price does. A spreadsheet with formulas from years ago produces a price but does not show which hardness, compound and tolerance were assumed. If the customer later asks for a different hardness or a smaller call-off, everything has to be redone. And if it is unclear who will own the mould, that becomes an argument years down the line. A quote needs to make those assumptions and agreements explicit.

Example
  1. 1

    Record the technical basis

    Done

For each item the estimator records the compound, hardness, product form, tolerances and the tooling required.

  2. 2

    Price per batch size

    In progress

The price per piece or per metre is calculated from compound use, cycle time or extrusion speed, finishing and start-up scrap.

  3. 3

    A proposal with tooling agreements

    Next

The quote states per item the technical assumptions, the tooling costs and who will own the mould.

From enquiry to signed quote.

Record the technical basis

For each item the estimator records the compound, hardness, product form, tolerances and the tooling required. If a mould or die already exists, it is linked; if new tooling is needed, it appears as a separate item. It is then clear whether the quote assumes existing or new tooling, and which cycle time was used.

Price per batch size

The price per piece or per metre is calculated from compound use, cycle time or extrusion speed, finishing and start-up scrap. The software shows the price at several batch sizes side by side, so the customer can see how call-off size affects the price and choose for themselves.

A proposal with tooling agreements

The quote states per item the technical assumptions, the tooling costs and who will own the mould. It also states that the first delivery only follows once samples have been approved, and lists the sample round as a separate item. Once the customer accepts, those agreements are fixed.

Alongside your calculations and price lists.

Estimating at rubber manufacturers often happens in a spreadsheet of compound prices, machine rates and experience figures, sometimes alongside an ERP system holding items and orders. At the start we take over the calculation rules, and the quote works with the compound prices and machine data you already maintain. Accepted quotes can flow into the order system. Rates, compound prices and margins stay with you and are only changed by whoever you appoint.

Tooling charged separately or built into the price

Charging tooling separately is transparent and makes the customer the owner. Building it into the unit price lowers the barrier, but then you need to agree what happens if the customer takes less than expected. State in the quote which applies and at what volume the tooling has paid for itself.

Fixed price or compound surcharge

Raw material prices for rubber and fillers can fluctuate. You can agree a fixed price for a period or link a surcharge to the compound price. A fixed price gives the customer certainty; a surcharge protects your margin. The quote must say which arrangement applies and for how long it runs.

Price per call-off or per annual volume

A price per call-off reflects the start-up scrap of each run but penalises small call-offs heavily. A price on annual volume is simpler for the customer but requires agreements on minimum call-off size. Show both in the quote so the customer can choose what suits their purchasing pattern.

What we prepare in the quotes.

From the start, the quote is ready for the profiles and moulded parts you make most often, with technical assumptions per item, tooling as a separate item and prices for several batch sizes. Together we go through an ordinary quote for a profile with an existing die, and an exception: a moulded part with new tooling, a certified compound and a customer who later wants a different hardness. Passing accepted quotes on to scheduling and invoicing you switch on once the calculation is right.

Can we show prices at different batch sizes?

Yes. The quote shows the price per piece or per metre at several call-off sizes side by side. You choose which sizes are shown by default. The customer sees immediately what a larger call-off gains them and can plan purchasing accordingly.

What if the customer wants a different hardness after the quote?

The quote shows which hardness was assumed. A different hardness may need a different compound and sometimes different tooling, because shrinkage changes. You prepare an adjusted proposal, the customer accepts again, and the original quote stays on file for reference.

How do we record mould ownership?

In the quote, per item. It states whether the customer becomes the owner or you keep the tooling, and what happens if nothing is called off for a long time. That agreement carries through to the order confirmation and invoicing.

Can we find old quotes with their prices?

Yes. Every quote is stored with the rates and compound prices that applied at the time. If a customer asks for a repeat after a year, you can see what was offered then and what has changed since, before you send anything new.
