Design and creative production: Customer portal for restoration studios

A client portal for restoration studios where owners and institutions view condition reports, treatment proposals and progress images, and approve interventions or answer questions along the way.

Customer portal for restoration studios. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of restoration studios want to see.

An owner whose object has been in a restoration studio for months wants to know how it's going. They call or email, and the conservator sends photos as attachments. When a question comes up during treatment, such as whether old overpaint may be removed, it goes back and forth by email, sometimes to several people at an institution. The answer then lives in an email thread rather than with the object. Afterwards the condition report and treatment report have to be emailed again, and a year later the owner asks if they could have that report once more. A portal brings those documents and decisions together.

    Set access per object

    Done

For each object the studio decides who has access: the owner, a museum curator, an insurer in the case of a claim.

  2. 2

    Show reports and progress

    In progress

The portal holds the condition report, the treatment proposal and a selection of progress images released by the conservator.

    Link questions to approvals

If a question arises during treatment, the conservator posts it in the portal with photos and an explanation.

From invitation to approval.

Set access per object

For each object the studio decides who has access: the owner, a museum curator, an insurer in the case of a claim. Who may view and who may approve are recorded separately. A private owner gets a personal link; an institution with several objects gets a login with an overview.

Show reports and progress

The portal holds the condition report, the treatment proposal and a selection of progress images released by the conservator. The status shows which interventions are done and which are still to come. Internal working photos and notes stay in the studio's file, so the owner gets a clear picture.

Link questions to approvals

If a question arises during treatment, the conservator posts it in the portal with photos and an explanation. The owner replies or approves, and that's recorded against the object and the intervention. Afterwards the treatment report sits in the portal, so the owner can always find it again.

Less email, the same records.

Studios currently send reports and photos by email or through a file-sharing service. The portal pulls reports and released images from the object file, so the conservator doesn't upload anything separately. Institutions that want to add reports to their own collection records can download them in a usable format. The studio owns the documentation and decides what is shared; the object's owner owns their approvals and answers.

Share all images or a selection

Owners are often curious about every step, but hundreds of working photos mean little to them and can be misread, such as a photo taken halfway through varnish removal. A selection with an explanation per step gives a better picture. Institutions sometimes want to see more; that can be set per object.

One contact or several at institutions

At a museum, a curator, a registrar and a collections manager may all be following along. If everyone can approve, confusion about what applies sets in quickly. One designated person for approvals, with others as readers, keeps things clear while everyone who needs it can still follow progress.

Portal access for insurers on claims

With a claim, the insurer usually wants to see the condition report and the estimate, but not every progress photo. A separate role for the insurer, with access to only the relevant documents, keeps information from circulating by email and keeps owner and insurer on the same page.

What customers find in the portal.

Owners see the condition report, treatment proposal and released progress images per object, ask questions, approve per intervention and find the treatment report afterwards. Before the portal opens, we play out an ordinary private job together and a museum object where a question about overpainting comes up halfway. A role for insurers and an overview for institutions with several objects in treatment are switched on later.

Can the owner see how far the treatment has got?

Yes. The portal shows which interventions are done, which are under way and which are still to come, with images the conservator releases. An estimated completion date is shown if known. The owner no longer has to call to find out where things stand.

What if the owner doesn't respond to a question?

The portal sends a reminder, and the studio sees which questions are open and for how long. Depending on what was agreed, the conservator can carry on with other interventions or wait. It stays clear why an object may be standing still.

Do the reports stay available after the object is returned?

Yes. The condition report and treatment report remain in the portal, so the owner can find them again, for instance for a sale, insurance or a future treatment. You decide how long access stays valid and whether the owner can download a copy.

Can institutions follow several objects at once?

Yes. An institution with several objects in the studio gets an overview per object with status, open questions and reports. That's useful during a campaign in which a series of objects is being prepared for an exhibition at the same time.
