Construction and installation: Quotation software for rainwater system installers

Quotation software for rainwater system installers that records tank, pump, pipe lengths and groundwork as separate assumptions, so customers can see what their price is made of.

Quotation software for rainwater system installers. A quotation that brings assumptions, calculation and approval together. Example with demonstration data.

Where quotes for rainwater system installers get stuck.

For rainwater system installers the tank is rarely the uncertain part of a quote. The uncertainty is in the ground: how deep to dig, whether groundwater rises, how much spoil has to go and how long the pipe to the house will be. A quote that folds all that into one total leads to arguments as soon as the digger hits rubble or an old cesspit. Pipe length is often estimated from a photo and turns out longer on the day because of a detour around a patio. Without recorded assumptions, nobody can tell afterwards whether extra work is justified, and the customer feels ambushed.

Record assumptions per item

Each quote starts with its basis: chosen tank and pump, excavation depth, expected soil, removal of spoil, pipe length into the house and reinstatement of paving or lawn. Each point notes whether it was measured or estimated. That list goes into the quote, so the customer reads what the price rests on.

Build the calculation from fixed blocks

Tanks, pumps, filters and top-up units are ready as items with cost price and margin. Excavation and pipework are calculated per metre or per hour at your own rates. When the designer moves the tank position, the quote recalculates pipe length and groundwork and shows immediately what that does to the total.

Tie acceptance to the assumptions

The customer accepts the quote and the list of assumptions online. On site, the crew compares the real situation with that list. If they hit rubble or the pipe runs longer, it is immediately clear which assumption did not hold, and the extra work is put to the customer before it is carried out.

Alongside your calculations and price lists.

Most installers price in a spreadsheet or in the quoting module of their accounting package, with the tank supplier's price list alongside. Items and cost prices stay where they are now; the quotation software reads them in and adds excavation and pipework rates. Accepted quotes go back to the administration as orders. The designer owns the assumptions, the office owns prices and margins. That keeps it clear who may change what.

Fixed price or excavation charged on actuals

A fixed price gives the customer certainty but forces the installer to allow generously for unknown ground. Charging excavation on actuals is fairer but feels open-ended to a homeowner. A middle path is a fixed price with clear limits: digging to a stated depth, normal soil, no rubble. Anything beyond that is named in advance as an extra with a unit rate.

One proposal or several options

Customers often hesitate between a smaller tank for the garden only and a larger system with toilet flushing. Two options side by side in one quote show what the extra pipework, pump and top-up add. More than two or three makes the choice harder. The designer decides which options make sense for this roof and this household.

Include garden reinstatement or leave it out

After digging, lawn, slabs or gravel have to go back. Some installers do that themselves, others leave it to the customer or a landscaper. A quote that does not say leads to disappointment at handover. Include reinstatement as a separate item or exclude it explicitly, with a sentence on the state in which the garden will be left.

What we prepare in the quotes.

The item list of tanks, pumps and filters goes into the quote, together with the calculation of digging and pipework, a list of assumptions and online acceptance. With you we work through two quotes before one reaches a customer: an ordinary detached house, and a case where the tank has to go in the front garden because the back garden is out of reach. Showing options side by side and updating extras during the work in the same quote can be switched on later.

Can the quote allow for a high water table?

Yes, as an assumption. The designer indicates whether groundwater is expected, and the quote then includes items such as dewatering or anchoring the tank. If it is unknown, it appears as a caveat in the list of assumptions. The customer knows in advance that this could become an extra and why.

How do we deal with price changes from the tank supplier?

Cost prices are updated periodically from the supplier's price list. A quote already sent keeps the prices of that moment until it expires. After that it has to be recalculated. The overview shows which open quotes are affected by a price change, so you can inform customers in good time.

Can we reuse quotes for similar houses?

A quote for a house type can serve as a template, with the usual tank, pump and pipe route already filled in. For a new address you only change what differs, such as a longer route or different soil. That saves a lot of calculation on housing developments with many identical plots.

Does the customer see our cost prices?

No. The customer sees selling prices per item and the assumptions. Cost prices, margins and the internal split of hours are visible only to you. You decide how much detail the quote shows: per component, per main group or only totals with a description of what they include.
