Construction and installation: Inventory software for rainwater system installers
Inventory software for rainwater system installers that tracks filters, pumps and spare parts per warehouse and van, so a service fitter has the right part on board.
Where stock drifts for rainwater system installers.
Rainwater system installers hold little stock, but many different small parts: filter cartridges in several sizes, non-return valves, pressure switches, float switches, suction hoses and complete pumps from several manufacturers. A service fitter drives to a customer whose pump no longer cuts in and finds he does not have the right pressure switch with him. It may still be in the warehouse, or it was just used on an installation without anyone booking it out. Tanks are usually delivered direct, but pumps and filters are sometimes kept in stock and then go missing between jobs. Whoever orders does not know what is really on the shelf.

Make parts recognisable
Every part gets its own item with manufacturer, type and the pumps or filters it fits. Stock is tracked per location: warehouse and each service van. A fitter can look up a part by the model number of the customer's pump and see which replacement parts fit and where they are.
Reserve for planned work
For a planned installation or service, the pump, filter and small parts are reserved. Reserved stock no longer counts as free. If a part is not in stock, it appears on the order list with the date it is needed, so the buyer knows what takes priority.
Report usage from the van
After a job the fitter records on the job card which parts were used. They are booked out of the van and linked to the customer's system. When van stock falls below the agreed minimum, the part lands on the restock list for the next morning. Every so often the fitter counts the van.
Alongside your purchasing and suppliers.
Stock is now often kept in a spreadsheet or not at all, with orders placed through the wholesaler's webshop or portal. The inventory software reads in item data from the wholesaler and the manufacturer. Usage comes from the job cards, purchasing goes to the accounting package. The buyer owns items and minimum levels, the fitter owns what is in their van. A scanner or the phone camera can read barcodes on packaging.
Track van stock or only the warehouse
Tracking only the warehouse is simpler, but parts disappear precisely in the vans. A fixed kit per van with a minimum per item gives control without the fitter scanning every screw. Small consumables such as fittings and tape can stay outside the count and be topped up in bulk.
Hold stock or order per project
Filters and frequently used pump parts you want on the shelf, because a customer with a broken pump will not wait. Large pumps and tanks you order per project. The software shows per item how often it was used over a period, so you can decide on evidence what to hold and what to order.
One supplier or compare several
Many parts are available from several wholesalers. Comparing prices per order takes time but can pay off for more expensive pumps. For small parts a fixed supplier per product group often works better. Record a preferred supplier per item with a second as fallback, so nobody has to search again with every order.

Which stock we record.
At the start the stock overview holds parts with matching pump types, stock per warehouse and per van, reservations for planned jobs and booking out from the job card. You decide the minimum stock per van yourselves. Together we replay an ordinary maintenance day, and a fault where the needed part is not in the fitter's own van but is with a colleague. The software creates orders to the wholesaler automatically based on shortages, once you switch that on.

Explore pricing and optionsHow do fitters find the right part for an unfamiliar pump?
They search by make and model number or scan the rating plate. The software shows which filters, switches and valves go with that pump and where they are in stock. If the pump is not listed yet, the fitter photographs the rating plate and the buyer adds the item later.
Do fitters have to scan every small part?
No. You decide which items are counted. Pumps, filters and more expensive switches yes, fittings and small materials no. Those are topped up from a fixed kit per van. The fitter's workload stays small and the count of what matters stays right.
Can we see which parts are fitted at which customer?
Yes. Every part booked out is linked to the system where it was fitted. At the next fault the fitter sees which filter or pump has been in since when. That helps with warranty claims to the manufacturer and with predicting when a filter is due again.
What if the count does not match the system?
A stock count shows differences per item and per location. The buyer can then see whether it was a forgotten booking or a genuine loss. Corrections are recorded with a reason, so you can see where it goes wrong more often and whether the van kit should change.
