Manufacturing and processing: Invoicing software for powder coaters

Invoicing software for powder coaters: coated surface area, pretreatment, masking and assigned rework from the job card come together on an invoice the customer recognises and that goes out with a payment link.

Where invoices stall for powder coaters.

At powder coaters, invoices are often put together at the end of the week by someone leafing through job cards and digging out the matching quote. More parts arrived than were quoted, a few needed extra blasting, one went back into the booth. Was that rework at your own expense because of a blemish, or chargeable because there was silicone on the metal? That information is not in one place. The result is that extra work goes unbilled, or the customer receives an invoice they do not recognise. An invoice needs to trace back to what was actually treated and to the reason behind every difference.

For a signed-off order, the quoted lines, the quantities actually received and the completed steps on the job card already sit in the same software.

  2. 2

Each rework step gets a choice: at your own expense or charged to the customer, with the photo and reason for the deviation.

Once everything is checked, the invoice goes to the customer with a payment link and a reference to order and quote.

From finished work to paid invoice.

Job card beside the quote

For a signed-off order, the quoted lines, the quantities actually received and the completed steps on the job card already sit in the same software. Extra pretreatment or masking logged on the floor appears as a suggested invoice line with the reason attached. If a quantity is missing, you see it straight away.

Assign rework

Each rework step gets a choice: at your own expense or charged to the customer, with the photo and reason for the deviation. Whoever invoices reviews that choice and can change it. That way rework caused by your own mistake is never charged to the customer by accident.

Send invoice with payment link

Once everything is checked, the invoice goes to the customer with a payment link and a reference to order and quote. Reminders follow automatically and the payment status sits with the order. For questions, the office finds the job card and photos straight away, and double entry is no longer needed.

Invoicing from the same software.

Powder coaters often invoice at the end of the week from an accounting package, with paper job cards alongside. Here quote and job card sit in the same software, so the invoice follows from what was actually coated. Item codes and VAT settings are agreed together at the start. The shop floor owns what happened, accounts own what is invoiced. The bookkeeper can look along or receive an export and does not have to work differently.

Invoice on the quote or on actuals

Invoicing on the quote is simple and predictable for the customer. Invoicing on the area actually treated and steps actually carried out is fairer when parts often arrive in greater numbers or in a different state than declared. Many powder coaters use the quote as the basis and bill differences separately, provided they were flagged first.

Per order or a consolidated invoice

Private and one-off customers get an invoice per order, often at collection. Regular business customers with many small orders prefer a combined invoice per week or month. The software handles both, as long as the arrangement is recorded per customer. That arrangement sits on the customer record, not in someone's memory.

Show rework or leave it off

Rework at your own expense can be left off the invoice or shown as a line with no charge. Leaving it off keeps the invoice clean; showing it demonstrates that you resolved the issue. For regular customers the second can build trust, as long as the reason is worded in a businesslike way and applied consistently.

What we set up for your invoicing.

At the start, the software combines quote and job card per order into an invoice, with rework explicitly assigned, a payment link and automatic reminders. Together we walk through an order that went exactly to quote, and an exception where more parts came in and one part had to be redone because of contamination. Combined invoices for regular customers you switch on once the invoices per order are right.

Is the invoice sent automatically?

No. The software prepares the invoice, someone on your team checks it and sends it with a payment link. Especially with rework and extra work you want to look yourself before the customer receives anything. For orders without deviations that check is quick, and after that reminders run by themselves.

What if the customer brought more parts than were quoted?

The actual quantity is recorded on receipt. On the invoice being prepared you see the difference from the quote. You choose whether to invoice the extra parts at the same rate or check with the customer first. That choice is kept with the order.

Can we look back at rework by reason?

Yes. Because every rework step has a reason and an assignment, you can see later how much rework was at your own expense and how much was charged on. That also helps when raising recurring contamination with a regular customer.

What does our bookkeeper notice of this way of invoicing?

Little, except that everything adds up. The bookkeeper can look along at invoices, payment status and the VAT overview, or receive an export per period. At the start we agree item codes and revenue types together, so the bookkeeper does not need to change the way they work.
