Manufacturing and processing: Customer portal for powder coaters
A customer portal for powder coaters where trade customers can find colour agreements, test panels, order status and collection times without having to call or email.
What customers of powder coaters want to see.
Trade customers of powder coaters mainly call about two things: is my work ready, and which colour did we agree again? A fabricator who sends work every month wants to be sure the railings come back in the same fine texture as last time. That agreement sits in an old email and the test panel is somewhere in the office. Meanwhile the driver calls to ask whether he can come and collect, and the office does not know whether the final inspection has been signed off. Every call interrupts someone who should be estimating or planning, and every forgotten colour agreement can cost an entire batch.

From invitation to approval.
Set access per customer
Each trade customer gets access to their own orders, colour agreements and documents, and can invite several colleagues. A project manager sees their projects; a buyer also sees invoices. You decide per customer what is visible, not the customer, and access can be withdrawn for any individual at any time.
Show colour and status
Each order shows the agreed colour with gloss level, texture and a photo of the approved test panel, the current status and the expected collection time. Once the final inspection is signed off, the status changes to ready and the customer is notified. If a time changes, the office updates it there.
Responses linked to the order
A question or approval lands on the order it concerns. If the customer approves a new test panel or asks for a different collection time, the office sees it on that order, and nobody has to hunt for the email it was in.
Less email, the same records.
At most powder coaters, orders and colour agreements live in an order system, a folder of test panels and the mailbox. The portal takes order status from the system in which job cards are signed off, and colour agreements from a dedicated list per customer. Invoices can be shown from the accounting package. You remain the owner of all data; the customer only sees what you release and can respond, but cannot change orders or agreements.
Access for everyone or regular accounts only
For a private customer having wheels coated once, a portal is overkill; a text message when it is ready will do. Regular trade customers with ongoing agreements do benefit. Start with the customers who call most often and the office will notice the difference straight away, before you extend it.
Approve test panels online or in person
A photo of a test panel gives an impression, but you only truly see colour and gloss in real light. For standard colours, online approval can work well. For a special colour or architectural work, you will want the customer to see the panel in person or receive it by post, then record the approval in the portal.
Notify at every step or only when ready
A notification at every step, from blasted to out of the oven, gives insight but also a flood of messages. A notification when ready for collection is enough for most customers. Let customers choose for themselves, with ready as the default, and the office can see each preference.

In the portal, business customers see their current orders with status and collection time, the colour agreements with sample panels and a notification once something is ready. Before going live, we try it together with a regular customer and an ordinary order, and with an order where part needs rework and is ready later than the rest. Invoices, requesting collection slots and approving new sample panels can be switched on when customers ask.

Explore pricing and optionsCan a customer place a new order through the portal?
Yes, through the same enquiry form as on the website, but with their details and colour agreements already filled in. The order arrives at the office as a request and only becomes final once you confirm it, so nobody can fix a price without you.
What does the customer see if part of the order has to be redone?
They see that most of the order is ready and which part is still being reworked, with a new expected time. The reason for the rework does not have to be shown in detail; you decide that case by case.
Can we load in existing colour agreements?
Yes. At the start we transfer the agreements for the customers who get the portal, with photos of test panels where they exist. After that, new agreements are recorded with the order and appear in the portal automatically.
Who grants customers access and who removes it?
The office manages access. You invite the main contact at a customer, who can add colleagues within their own company. If someone leaves the customer's business, either the customer or your office can remove their access.
