Outdoor spaces and grounds: Invoicing software for pond builders

Invoicing software for pond builders: the finished pond, liner and equipment used, loads of soil and agreed extras become an invoice with the evidence attached and a payment link.

Where invoices stall for pond builders.

After a pond build, the office at pond builders has to work out exactly what belongs on the bill. The quote allowed for a certain amount of soil removal, yet it took more loads because the ground was full of rubble. Midway through, the customer asked for an extra skimmer and a longer stream. Liner came from an offcut rather than a new roll. Tipping tickets are lying in the lorry cab and hours were jotted down by hand. Larger ponds are billed in stages, so someone has to check which part has already gone out. Any item nobody can find simply never gets charged.

Example
  1. 1

    Bring one build together

    Done

Once the pond is handed over, the software holds everything used for that build: liner, filter, pump and pipework, hours per step, the number of soil loads and any extras the customer agreed to.

  2. 2

    Weigh each deviation

    In progress

The office sees where the pond was built differently from what was offered: more loads, an extra skimmer, a rubble allowance that was used.

  3. 3

    Send the final account

    Next

The invoice then goes to the customer with lines that point back to the build and a payment link.

From finished work to paid invoice.

Bring one build together

Once the pond is handed over, the software holds everything used for that build: liner, filter, pump and pipework, hours per step, the number of soil loads and any extras the customer agreed to. Photos of tipping tickets come along, beside the accepted quote and the stage invoices already sent.

Weigh each deviation

The office sees where the pond was built differently from what was offered: more loads, an extra skimmer, a rubble allowance that was used. For every deviation they decide: charge it, set it against a provisional sum or check with the work planner first. Stages already paid come off automatically.

Send the final account

The invoice then goes to the customer with lines that point back to the build and a payment link. Anyone who does not pay gets an automatic reminder, and payment status sits with the build. If the customer rings about a line, the office pulls up the tipping ticket or the photo of the extra skimmer.

Invoicing from the same software.

Pond builders often create invoices separately in an accounting package, next to an online shop selling pumps and filters over the counter. Here, invoices for builds and maintenance come from the same build as the quote and the job card. Prices come from the same item list, and soil removal follows the tickets. Whatever went out in earlier stages counts at the final settlement, so the customer never pays twice. Your bookkeeper can look along or receive an export.

Invoice in stages or after handover

For a large pond with expensive liner and heavy filtration, invoicing in stages is common, for instance at order, after digging and at handover. A small ornamental pond is often invoiced in one go. Each build records which arrangement applies and which stages have already been sent or paid.

Soil removal per load or a fixed item

Charging soil per load is fair but means every ticket has to reach the right build. A fixed item is simple but leaves the risk with you if the soil turns out heavier or dirtier than expected. The choice depends on how well the ground is known beforehand and how often surprises happen locally.

Maintenance per visit or per season

Invoicing a maintenance visit afterwards is straightforward. A seasonal plan at a fixed price gives peace of mind but means tracking what falls inside the plan and what does not, such as a replacement UV lamp. Plan work and extras sit apart on the invoice, so there is no argument about what was included.

What we set up for your invoicing.

Ready at the start: your item list with liner, equipment and soil removal, stage schedules for large ponds, the payment link and the reminders. Beforehand we create two invoices together: a small ornamental pond settled in one go, and the final stage of a koi pond where the rubble allowance was used. Seasonal maintenance plans and assigning tipping tickets to the right pond can be switched on once build invoices are running smoothly.

Does this work alongside the accounting package we already use?

Yes. You create and send invoices here, with payment link and reminders, and see payment status per build. Your bookkeeper can look along or receive an export of the invoices and the VAT overview, so the accounting package stays up to date.

How do we make sure an extra skimmer is not forgotten?

Anything the crew notes as extra on the job card sits as a deviation next to the quote. While a deviation is open, the build cannot be closed. A longer stream or an extra load of soil cannot slip through that way.

Can the customer see the basis for soil removal?

Yes. The invoice can go out with a breakdown of the number of loads and the related tickets. Customers using the portal see it there. That avoids arguments, especially when removal comes out higher than the quote.

How do we handle liner offcuts that were used?

That depends on your arrangement with the customer. If the quote prices liner per square metre, you invoice what was used, whether it came from an offcut or a new roll. Inventory adjusts the internal cost price separately.
