The assistant uses only the sources you approve and adds no outside knowledge. Forwarded questions land in the inbox or order system engineering already works in. Engineering owns the material information and decides when a change goes live.
Include supplier sheets or own copy only
Supplier data sheets are thorough and precise, but sometimes in another language and full of values a layperson can misread. Your own copy is easier to follow but less complete. A combination works: the assistant answers from your own copy and refers to the supplier sheet for exact values.

Only if you have recorded that for a specific material in the sources, for example based on the supplier's declaration. Otherwise it says it cannot confirm it and passes the question on. No statement goes out that you cannot back up yourselves.
What if someone asks for a price or lead time?
The assistant explains that price and lead time depend on material, dimensions, quantities and processes, and offers to start an enquiry or pass the question on. It does not quote amounts or dates, because those vary per job.
Can the assistant review a drawing?
No. Reviewing a drawing for manufacturability and tolerances is engineering's job. The assistant can help start an enquiry with the drawing attached, so it reaches the right person directly and does not get lost in a general inbox.
How do we see what the assistant is being asked?
Conversations are kept for an agreed period and can be viewed by engineering. You see which questions keep coming back and where the material overview falls short. Personal data is only kept where needed for the handover.
