Design and creative production: Scheduling software for picture framers

Scheduling software for picture framers that plans workbench time, material deliveries and collection appointments together, so a customer only hears a collection date once moulding and glass are actually in.

Scheduling software for picture framers. A schedule that compares resources and availability, then confirms an appointment. Example with demonstration data.

What makes scheduling hard for picture framers.

A picture framer tells a customer the frame will be ready in a week or two. But the chosen moulding has to be ordered, the museum glass comes from another supplier, and the same week holds a business series of thirty frames that will occupy the bench for days. If the moulding arrives late, everything slips, but the customer knows nothing and turns up at the counter on the agreed day. Meanwhile finished frames sit waiting for owners nobody has called. Framers often plan with a notebook and a rack of order tickets, which works until more than a handful of jobs are running at once.

Each order lists the operations it needs: cutting, joining, cutting the mount, cutting the glass, fitting and perhaps stretching.

The overview shows, day by day, which orders are on the bench and which are waiting for moulding or glass.

When the frame is ready, the customer gets a notification and can choose a collection slot, or comes in at an agreed time.

From job to confirmed appointment.

Record work and materials per order

Each order lists the operations it needs: cutting, joining, cutting the mount, cutting the glass, fitting and perhaps stretching. Alongside sits which material still has to be ordered and when it is expected. Every order then shows the earliest date work can realistically begin at the bench.

Bench and deliveries side by side

The overview shows, day by day, which orders are on the bench and which are waiting for moulding or glass. A new order is slotted in on the first day its material is in and the bench has room. A large business series is spread over several days so private customers aren't kept waiting for weeks.

Arrange and confirm collection

When the frame is ready, the customer gets a notification and can choose a collection slot, or comes in at an agreed time. If material arrives late, the expected date moves and the customer is told before making a wasted trip to the shop.

Alongside your calendar and your team.

Picture framers often track orders with paper tickets in a rack, a notebook of supplier orders and a diary. Orders with suppliers go through their webshop or by phone. The schedule takes the expected delivery date from that order, and the framer updates it if the delivery changes. The shop's appointment diary stays as it is; collection slots appear in it automatically. The framer decides how much bench time is available each day.

Fixed turnaround or calculated per order

A fixed turnaround of a couple of weeks is easy to communicate, but too long for a frame from stock and sometimes too short for an ordered moulding. Calculating a date per order from materials and bench time is more precise, but relies on keeping supplier delivery dates up to date.

Business series in between or in blocks

A series for an office or hotel can be made in one block, which is efficient because cutting and fitting happen with the same settings. But then private customers wait. A middle way is to spread the series over a few days, keeping room each day for individual orders so nobody waits unreasonably.

Phone the customer or let them choose

Phoning to say a frame is ready is personal but takes time and doesn't always connect first time. A message with a link to pick a collection slot is quicker. Many framers combine the two: a message for most customers, and a call for a valuable piece they would rather hand over in person.

What we set up in the schedule.

Operations per order are scheduled on the workbench, taking the expected delivery of moulding and glass into account, and customers choose a collection time once the frame is ready. Together we plan an ordinary week and a week in which an ordered moulding arrives later than expected. Spreading business series over several days and alerts on delays are switched on once the schedule is running.

Can we see which orders are waiting for materials?

Yes. The overview lists separately which orders are waiting for moulding, glass or mount board, with the expected delivery date. When a delivery comes in you record it, and the orders that were waiting on it move through to the bench.

What if a customer doesn't collect their frame?

After an agreed period the customer gets a reminder. If the frame still sits there, it shows up in a separate list of uncollected orders. You can then call specific people instead of working through the whole rack every so often.

Does the schedule work with several staff?

Yes. You can set which days each person is at the bench and which operations they handle. Someone who mainly cuts mounts sees those jobs, while a colleague does the cutting and joining of mouldings.

Can customers choose their own collection time?

Yes. When the frame is ready, the customer gets a message with the slots you make available, for instance during opening hours. Once they pick one, it goes into the diary and you know who is coming when.
