Design and creative production: Operations dashboard for picture framers

An operations dashboard for picture framers that shows offcuts by moulding, breakages, turnaround and uncollected frames, along with the orders and mouldings behind the figures.

Operations dashboard for picture framers. An operations dashboard that shows deviations and their source. Example with demonstration data.

Which figures picture framers really need.

A picture framer notices a lot of moulding being ordered, but can't tell whether that reflects demand or loss at the saw. Wide mouldings produce a lot of mitre waste, and offcuts pile up in the rack without anyone knowing which mouldings leave the most behind. Glass that breaks is replaced without anyone counting how often. And in the cupboard sit frames that have been ready for weeks but never collected. Without an overview it stays a hunch that certain mouldings don't pay or that turnaround is creeping up. Framers need figures they can trace back to moulding and order.

    Done

First we agree what counts as an offcut, as waste and as a breakage.

    In progress

The dashboard draws offcuts and usage from inventory, breakages and operations from framing cards, and lead times from the schedule.

  3. 3

    Trace deviations to the order

    Next

If loss on a particular moulding runs high, the framer drills down to the orders where it was used and sees which sizes and offcuts resulted.

From scattered figures to one overview.

Agree the terms

First we agree what counts as an offcut, as waste and as a breakage. Turnaround gets a definition too: from approval at the counter or from the arrival of materials. And when is a frame uncollected: after a week, after a month? Without those agreements the dashboard says very little of use.

Connect stock and framing cards

The dashboard draws offcuts and usage from inventory, breakages and operations from framing cards, and lead times from the schedule. For each moulding you can see how much was used, how much came back as offcuts and how much was written off, over a period you choose.

Trace deviations to the order

If loss on a particular moulding runs high, the framer drills down to the orders where it was used and sees which sizes and offcuts resulted. That reveals whether the moulding itself, the way it is cut, or an unusual size that keeps coming up is behind it.

Figures from your own work.

The data comes from what the workshop already records or set up in earlier steps: inventory with offcuts, framing cards, the schedule and accounting. The dashboard asks for no extra input. The framer decides which figures are visible and to whom. Staff can see an overview of breakages and offcuts without financial data, so they can help think about how cutting could improve.

Loss per moulding or per order

Loss per moulding shows which mouldings produce the most offcuts or waste, which helps set the price per metre and decide what to keep in stock. Loss per order shows which jobs turned out expensive. For purchasing, per moulding is more useful; for post-costing, per order.

Track uncollected frames or not

Frames that are ready but not collected take up space and often mean payment hasn't come in yet. A list showing how long each has been waiting helps you phone the right people. It is a simple figure, but it often says more about cash flow than a monthly sales summary.

Weekly overview or alerts

A weekly overview is enough for trends in loss and turnaround. An alert is useful for something that needs action now, such as an ordered moulding that is long overdue while orders wait for it. Start with an overview and add alerts only where they actually change what you do.

Which figures we put on the dashboard.

The report shows offcuts and waste per moulding, breakage per glass type, lead time per order and uncollected frames, with click-through to the orders. We load an ordinary month and a month in which a wide moulding produced striking waste, and look together for the cause. Post-job costing per order and alerts on delayed deliveries are yours to use once enough orders are in.

Do staff need to fill in anything extra for the dashboard?

No, the dashboard uses what is already recorded on the framing card and in inventory: offcuts, breakages and operations. If those aren't filled in consistently yet, that is the first thing we look at together.

Can we see which mouldings sell best?

Yes. The dashboard shows how often each moulding is chosen and how many metres have been used. Combined with loss per moulding, that gives a clear picture of which mouldings belong on the rack and which are better ordered in.

Can the dashboard show how long customers wait for their frame?

Yes. It shows turnaround per order, split between waiting for materials and waiting for the bench. You can see whether delays sit mainly with suppliers or in your own workshop, and so where to act first.

Who can view the dashboard?

You decide. The owner sees everything, including sales and margins. Staff can get an overview of breakages and offcuts without financial data. Sensitive figures stay with whoever needs them, while the workshop can still see where things go wrong.
