Design and creative production: Customer portal for picture framers
A customer portal for picture framers where customers can review their moulding, mount and glazing choices, follow the status of their frame and receive a completion notice with a collection slot.
What customers of picture framers want to see.
A week after ordering, a customer no longer remembers exactly which moulding they picked or which mount colour. They phone the shop to ask whether the frame is ready, or whether they need to book a time to collect it. A business customer with a series of twenty pieces wants to keep track of which frames are done and which aren't. The framer, meanwhile, digs through the rack for the ticket. Six months after delivery, that same customer asks for a frame exactly like the last one, and the choice can no longer be traced anywhere.

From invitation to approval.
Set up access per customer
A private customer gets a personal link with their confirmation, letting them view their order without an account. A business customer with regular work gets a login with an overview of all their orders. The framer decides what is visible, such as the price or only the choices made at the counter.
Show choices and status
In the portal the customer sees the chosen moulding with a photo of the corner sample, the mount colour and width, the glazing and the measurements. The status shows whether materials have been ordered, the frame is in the workshop or it is ready. For a business series the status of each piece appears in a list.
Comments and completion notice
The customer can ask a question or leave a comment on their order. When the frame is ready, they get a completion notice with a photo and can choose a collection slot or request delivery. After collection the order stays visible for a repeat order later on.
Less email, the same records.
Customers currently get a paper ticket or an email confirmation and phone for updates. The portal draws on the framing card and the schedule, so the framer doesn't enter anything separately. Business customers who manage their own art collection can export the details of their frames. The framer owns the choices and status; the customer owns their comments and collection preference.
Show the price or only the choices
Some framers show the price in the portal, so the customer knows what they will pay on collection. Others show only choices and status, because the price was already discussed at the counter. Business customers with a purchasing process usually do need the price for their own records.
Collection or delivery
Many customers collect their frame themselves, but a large piece or a business series is often delivered and sometimes hung. The portal can offer both. Delivery does mean asking for an address, a time window and possibly a contact on site, and including the delivery in the schedule.
Repeat orders through the portal or the shop
A business customer wanting a new piece in the same style can copy an earlier order in the portal and only change the size. A private customer usually prefers to come in. The portal should allow both without creating double work, with the earlier choice as the starting point either way.

Customers see their order with moulding choice, mount, glass and status, and receive a ready notice with a choice of collection time. Before customers use the portal, we play out an ordinary private order together and a business series where some frames are ready later because of a delayed moulding. Repeat orders for business customers and the option of delivery are switched on later.

Explore pricing and optionsDoes a customer need to create an account?
No, not for a single order. A private customer gets a personal link that only works for their order. Business customers with regular work can have a login with an overview, but that is an option rather than a requirement.
Can a customer see which moulding they chose before?
Yes. After collection the order stays visible in the portal with moulding, mount and glazing. For a new order the customer can refer to it, and the framer knows exactly which combination is meant, down to the mount width.
What if the frame is delayed?
If the expected ready date moves, for instance because glass arrives late, the customer sees it in the portal and receives a message. They know before making a wasted trip to the shop, and don't have to phone to find out.
Can business customers manage several locations?
Yes. A customer with several branches or floors can specify for each piece where it should hang. That appears on the order in the portal and on the framing card, so delivery and hanging go smoothly.
