Events and rental: Scheduling software for photobooth rental operators
Scheduling software for photobooth rental operators that allocates booths, delivery vans and attendants per event, so a booking is only confirmed when booth and delivery both work out.
What makes scheduling hard for photobooth rental operators.
For photobooth rental operators, a booth seems available whenever it is not booked. But a mirror booth at a wedding on Saturday night only returns on Sunday morning and must be cleaned and checked before it can leave again on Sunday afternoon. Vans visit several venues in a day, and a booth that must be ready at four but cannot enter until half past three leaves little margin. Attendants are often freelancers. If the calendar only shows booths per date, without delivery, collection and the check in between, bookings get confirmed that fail on the day.

Work out each event's needs
From the confirmed quote come the model, whether an attendant is needed and when the booth must run. Added to that are the delivery slot, setup time, collection slot and the time needed to prepare the booth afterwards. Each event becomes several blocks rather than a single date.
Allocate booths and runs
The planner sees per day which booths are available, taking return and checks into account, and which vans and drivers are free. A run past several venues is built so that setup times are achievable. If a delivery clashes with a collection, the planner sees it before the booking is confirmed.
Confirm and adjust
Drivers and attendants receive the address, arrival time, contact person and setup instructions for each event. If a booth fails, the planner sees which bookings are affected and which replacement model is available. If a venue moves its delivery time, it becomes clear which runs shift as a result.
Alongside your calendar and your team.
Scheduling today often happens in a booking calendar that shows per booth whether it is booked, with runs in a shared calendar or spreadsheet. You own the bookings and allocations; drivers and attendants see only their own runs and shifts. We can use the booking calendar as the source and plan runs and checks around it. Hired vans or extra booths borrowed from another rental company are added as resources with their own availability.
Deliver yourselves or client collects
Delivering and setting up yourselves gives control over how the booth stands and works, but costs a van and driver per event. Letting clients collect works for compact models and saves runs, but needs good instructions and a sturdy transport case. Many operators deliver for weddings and offer collection for small parties.
Tight runs or generous margins
A run with four deliveries in one afternoon is efficient, but one traffic jam or a broken lift makes the rest late. Wider margins cost more runs but bring calm. The schedule shows the slack in each run, so you choose deliberately rather than firefighting afterwards.
Overbook or keep a spare
Some operators confirm more events than booths, counting on a cancellation. That works until it does not. A spare booth that cannot be booked, or an arrangement with another rental company, gives security when something breaks. The schedule makes that risk visible per date. Then you decide.

The schedule is ready with blocks per event, allocating booths, vans and attendants and confirmations to drivers. Before going live we walk through an ordinary weekend with four events together, and a Saturday on which a booth develops a printer fault just before leaving. Routes across several venues, actual delivery times for the invoice and booths borrowed from other operators can be added later.

Explore pricing and optionsCan we plan cleaning and checks between events?
Yes. Every return is followed by a block for cleaning, restocking paper and ink and a test print. Only then is the booth available again. That stops a booth still full of yesterday's props from being assigned to a new booking.
How do we plan events over several days?
A trade fair or festival spanning several days becomes one booking with a booth that stays on site. The schedule shows the booth as occupied for the whole period, and any daily checks or paper changes by an attendant are planned as separate tasks.
Do drivers see the print design too?
Usually there is no need. Drivers see the address, timings, setup instructions and contact person. Whether the right template is on the booth is checked before it leaves. If you want the driver to show a test print on site, that can be a step in the setup.
What if the client moves the event date?
The booking is rescheduled on the new date, and the planner sees straight away whether the requested model and a delivery slot are available. If not, you can propose another model before the new date is confirmed.
