Events and rental: Digital job cards for photobooth rental operators
Digital job cards for photobooth rental operators that put the approved print template, setup instructions and client agreements with the booth and the attendant.
What a job card for photobooth rental operators should hold.
The most painful moment for photobooth rental operators is a booth printing the wrong design at the party: another couple's names, last week's date or a logo in the wrong colour. It happens when the template is loaded onto a laptop without checking it is the approved version. What was agreed for the venue, such as a socket behind the stage or switching the booth on only after the speeches, does not always reach the driver or attendant either. Afterwards the print counter should be noted and faults reported, but that often does not happen or ends up on a scrap of paper.

Load the approved template
For every event the job card holds the approved print template, with the approval date and who signed it off. When preparing, the team member checks with a test print that the template matches and ticks it off. A template changed after approval is flagged, so nobody takes an old version along by mistake.
Log setup and running
On site, the driver or attendant sees the setup instructions, the contact person and the agreed times. During setup they record a photo of the arrangement and the starting count on the printer. During the event the attendant notes anything notable, such as a paper change, an extension or a fault and how long it lasted.
Close with counts and faults
At breakdown, the final printer count, missing props and any damage are recorded. The client or contact confirms the end time. Those details go back to the office for invoicing and maintenance. A fault during the event automatically becomes a report for whoever maintains the booths.
No more paper and loose photos.
Attendants currently work from a message with address and times, while the template sits in a shared folder or on a memory stick. The job card runs on the driver's or attendant's phone, or on a tablet that belongs with the booth. The approved template stays with the office: the attendant can view and test it but not change it. What is entered on site, such as printer counts and faults, only becomes final after the office has checked it.
Load template beforehand or on site
Loading and testing the template on the booth beforehand gives certainty but makes a last minute change awkward. Loading on site gives flexibility but needs a connection and an attendant who knows what they are doing. Loading beforehand with a check on arrival is the safest option for most events.
Printer counter or software count
The printer's own counter is reliable for the number of prints but includes test prints and jammed sheets. The booth software can count sessions and prints separately. Recording both gives a fair picture if extra prints are disputed, and shows how much paper is lost to faults.
Attendant or self-service booth
With an attendant, someone is always there to fill in the job card and fix faults. With a self-service booth, the driver records everything at setup and breakdown, and the client must be able to report a fault. The job card adapts: more logging during the event with an attendant, mainly arrival and departure without.

The job card holds the approved template, the test print check, setup instructions, printer count and fault reporting. Together we walk through an ordinary wedding with an attendant, and a corporate event where the logo was changed after approval. Printer counts and extensions going along to the invoice, and faults landing with booth maintenance, are switched on once the attendants are used to the card.

Explore pricing and optionsHow do we stop an old template going out?
Each template has a version and an approval moment. The job card shows only the approved version and asks for a test print during preparation. If the template was changed afterwards, the team member sees a warning and the new version must be approved again first.
Can the attendant report a fault straight away?
Yes, with a short description, the duration and a photo if useful. The report goes to the office and to whoever handles maintenance. If the attendant fixes it, they note what they did, so patterns become visible later.
What if the client wants to change the text on the night?
An on-site change is only possible if you allow it, for instance a small text edit by the attendant. The job card records who asked and what changed. Larger changes you decline or only make after checking with the office.
Does the job card work without internet at the venue?
Yes. The job card and template are loaded beforehand and everything the attendant enters is kept until a connection returns. Only uploading photos straight to an online gallery waits until the event is over or signal comes back.
