Events and rental: Operations dashboard for photobooth rental operators
An operations dashboard for photobooth rental operators that shows prints per event, faults per booth and deviations from the package, with the job card behind each number.
Which figures photobooth rental operators really need.
After a season, photobooth rental operators have a feeling for which booth caused trouble and which packages generated lots of extra prints, but they can rarely back it up. Faults are fixed on the road and not noted, printer counters are not read consistently and extensions sit in chat messages. So it stays unclear whether the mirror booth really fails more often or whether it is that one printer that moves between booths. Nor do you know whether unlimited printing at company parties actually pays. Without figures per event and per booth, packages and maintenance stay based on memory.

From scattered figures to one overview.
Agree on terms
First we settle what counts as a print, what counts as a fault and how events are grouped. Does a photo strip with two copies count as one print or two? Is a jammed sheet a fault, or only when the booth stops? How are events grouped: wedding, company party, trade fair, birthday. Those definitions decide what the dashboard means.
Connect job card, inventory and quote
The dashboard takes printer counts and faults from the job card, printer history from inventory and package and expected volume from the quote. Per event, expected and actual sit side by side; per booth and per printer, the faults. Events without a closed job card are left out of averages.
Investigate outliers
An event with far more prints than expected or a booth with conspicuously many faults stands out. From the dashboard you open the job card with the attendant's notes. You see whether a fault came from the printer, the paper or the venue, and can decide on maintenance or a different package.
Figures from your own work.
The data comes from job cards, inventory, quotes and the accounting package. Some booth software keeps its own count of sessions and prints; that can serve as an extra source. The dashboard does not calculate on its own; it shows what the sources contain and where data is missing. Whoever manages a source remains its owner. Changes to packages or expected volume are made in the quote.
Per booth or per printer
Faults per booth show which model is difficult, but printers sometimes move between booths. Looking per printer shows whether the problem travels with the device. The dashboard shows both, so you can tell whether a mirror booth really has more problems or whether it comes down to one printer.
All events or comparable groups
An average number of prints across all events says little, because a trade fair draws different visitors than a wedding. Comparing within a type of event, and possibly within a size band, gives useful figures for packages and quotes. The dashboard starts with that grouping and marks small groups separately.
Who sees what
The owner wants margins and fault costs, the planner mainly booth utilisation, the technician faults per printer. Deciding visibility per role keeps the dashboard clear for everyone and stops purchase prices from circulating. Roles can be adjusted later as the team changes, so it is fine to start small.

With agreed definitions the dashboard shows prints per event against the package from the start, faults per booth and per printer and drilling down to the job card. We set it against an ordinary month together, and against a printer that jammed at three events in a row. Signals per role and suggestions for adjusting print volumes and maintenance moments before the busy season can be switched on later.

Explore pricing and optionsCan the dashboard show when a printer needs maintenance?
It shows per printer the prints since the last service and the faults since then. You decide at which point maintenance follows. The dashboard does not predict failures, but it highlights a printer with rising faults before it breaks down at an event.
Can we see which packages are profitable?
If paper and ribbon costs are in inventory and hours on the job card, the dashboard can show an approximation per package and type of event. Fixed costs such as booth depreciation are not included unless you add them. It is a direction, not bookkeeping.
What if an attendant does not log faults?
Then a booth looks more reliable than it is. The dashboard can show which job cards contain conspicuously little data. A simple fault button on the job card, with a few fixed choices, helps attendants record them.
Can we compare with last season?
Yes, once there is a season of data and the definitions have stayed the same. You compare, for example, summer weddings with the same period a year earlier. If a definition has changed, the dashboard flags it in the comparison.
