Record supplies by type
Each printer gets its own number with model and a history of use and faults. Paper and ribbon are tracked by type and size, with roughly how many prints a roll or cartridge yields. Props and backdrops are registered per set or per item, so it is visible what is complete.
Reserve per event
For a confirmed event, a printer, enough paper and ribbon for the expected print volume and the chosen props are reserved. You see per weekend what is needed and what is in stock. If a paper size threatens to run short, you see it early enough to reorder.
Update after the event
On return, the printer counter is read and paper and ribbon usage recorded. Missing or broken props are written off. A printer with faults is flagged for inspection and only becomes available again after testing. Stock is then right for the next reservation.

Stock is often kept in a spreadsheet or on a list in the warehouse, with orders placed with a regular supplier of print media. We can take over that list and your ordering route stays the same. The booking calendar and quote decide what is needed; the warehouse decides what is there. Printers that belong to a booth are recorded with that booth, so a printer swap between booths stays visible.
Printer fixed to booth or separate
A fixed printer per booth makes setup simple: everything belongs together and has been tested. Loose printers give flexibility when one fails, but require checking that the right settings and drivers are on the booth. Inventory shows which printer is where, whichever you choose. Swaps stay recorded.
Send plenty of paper or exactly enough
Sending generous amounts of paper prevents a stalled booth, but opened rolls come back and are sometimes no longer usable. Matching the expected volume precisely reduces waste but needs a good estimate. Inventory shows per event what went out and what came back, so you can fine-tune.
Props as sets or individually
Fixed sets of hats, glasses and signs are quick to pack and check. Individual props allow for themes but are harder to track. Many operators use a basic set per booth and add themed props on request, each with its own registration. Each set is checked on return.

On return, read the printer counter to see how many prints came off the roll. The difference from what a full roll yields is what remains. That estimate is good enough to decide whether a roll can go to a small event or should not go to a big one.
Can we keep track of printer maintenance?
Yes. For each printer you record faults, cleaning and replaced parts. You see which printer jams often and can replace it before it fails at a wedding. A printer under maintenance cannot be reserved. It reappears after testing.
What do we do with props that do not come back?
The crew notes what is missing at breakdown. If it happens often at a certain type of event, you will see it. Whether you charge for lost props is a matter for your terms; inventory makes sure the count exists.
Does this work with paper in different sizes?
Yes. Each size is its own item with its own stock. An event with photo strips reserves different paper than one with postcard prints. You see per size whether there is enough for the coming weeks.
