Events and rental: Customer portal for photobooth rental operators
A customer portal for photobooth rental operators where clients approve design previews, find instructions for use and collect their photos after the event.
What customers of photobooth rental operators want to see.
Between booking and event, photobooth rental operators exchange a lot of messages about the design. A first preview by email, a reply with three changes, a second preview that the best man sees but the couple does not, and an approval buried in a chat. At companies, marketing must approve the logo while the office manager handles the booking. Clients who collect the booth themselves or use it without an attendant also ask for instructions, which now circulate as loose PDFs. After the event everyone wants the photos, but the link is in an email nobody can find a week later.

From invitation to approval.
Access per booking
The client gets access to their own booking, optionally with extra people such as a best man or a marketing colleague. Per person you decide whether they can only view or may also approve. It is clear who has the final word on the design, and everyone sees the same version.
Show previews and instructions
The portal shows the design previews with version numbers written out, the agreements on times and venue and the instructions for the chosen model. The client can comment on or approve each preview. Anything still open, such as the final text or a higher resolution logo, sits at the top with the date it is needed by.
Connect comments and gallery
A comment on a design becomes a task for the designer, with the client's note attached to the right version. Once approved, the design is locked. After the event the digital gallery appears in the same portal, so the client finds the photos where they approved the design.
Less email, the same records.
Clients currently receive an email confirmation, designs as attachments and a gallery link afterwards, often sent from the booth software. The portal shows what comes from your booking and design process; you remain the owner of booking details and templates. The gallery can keep running in the software you use now, with a link from the portal or by connecting that software. You manage instructions per model, so an update reaches every client at once.
Designs in the portal or by email
Email is familiar and quick, but versions and comments get scattered. In the portal every version sits together with comments and approval. A middle way is an email with a link to the portal for each new preview, so the client does not have to remember where to look.
Limit revision rounds or not
Unlimited changes feel client friendly, but a designer can lose hours to them. A set number of rounds in the package, with extra work charged beyond that, makes expectations clear. The portal counts the rounds, so you do not have to track how often a client has already responded.
Public or protected gallery
A public gallery link is easy to share with guests, but anyone with the link sees every photo. A protected gallery with a code or login gives more privacy, which matters at corporate events and some weddings. Let the client choose and record that choice with the booking.

Per booking the client sees design previews with comments and approval and instructions per model. Before the portal goes live we try an ordinary wedding together, and a corporate event where marketing and the office manager give conflicting feedback on the design. The gallery inside the portal, an overview of revision rounds and collection instructions with photos of packing and connecting can be switched on later.

Explore pricing and optionsCan guests use the portal too?
Guests do not get access to the booking. After the event the client can share a gallery link, protected or not. Design, agreements and invoice stay between you and the client, while guests can still find their photos.
What if the client does not approve in time?
The portal reminds the client before the deadline. If nothing happens, you see it and can get in touch. If the event is close, you can proceed with the latest proposed version and record that, so it is clear later why it was used.
How long do the photos stay available?
You decide. The portal shows how long the gallery stays open and warns the client before it closes. A client who wants to keep the photos longer can download them. The retention period is part of the package terms.
Can a client read the instructions in advance?
Yes. As soon as the model is confirmed, the client sees the instructions in the portal: how to switch the booth on, how to change paper if needed and whom to call if something fails. For self collection, transport and return instructions are included too.
