Transport and delivery: Operations dashboard for pallet distributors
An operations dashboard for pallet distributors that shows shortages per distribution round, with the step where a pallet went missing or was damaged and the source behind it.
Which figures pallet distributors really need.
A pallet distributor only hears about a shortage when the recipient calls to say a pallet is missing or a box is gone. Then the search starts: was the pallet never collected, is it still at the hub, was it put on the wrong round or delivered to another recipient? The scans sit in the network's system, the proofs of delivery in a folder and the hub team's notes in a notebook. An overview of shortages per round or per hub shift does not exist, so recurring patterns stay invisible. Things can keep going wrong at the same handover for months without anyone noticing.

Define shortage and damage
First you agree what counts as a shortage: a pallet scanned on arrival but not on delivery, a consignment with fewer packages than declared or a pallet delivered to the wrong recipient. Damage gets its own definition, separating damage already visible on arrival from damage that arose at the hub or on the road.
Connect scans per round
For each distribution round, the dashboard lines up the scans from arrival, sorting, loading and delivery. A pallet missing a scan stands out immediately. For each shortage you can see at which step the chain breaks, and which team member or shift made the last scan.
Examine patterns per round
An overview per round, per hub shift and per shipper shows where shortages and damage pile up. When the hub manager clicks on a round, they see the consignments involved with scans, photos and notes. A conversation with the team is then about concrete cases, not a hunch.
Figures from your own work.
Scans live in the network's system or your own transport system, proofs of delivery in the shipment cards and damage reports sometimes in a separate list. The dashboard reads those sources and connects them per round; it changes nothing at the source. The network owns consignment statuses, the hub owns scans and damage reports, customer service owns claims. Existing network reports on delivery times remain useful alongside the dashboard.
Shortage per pallet or per package
Counting per pallet is simple, but misses consignments where a box has gone from the pallet. Counting per package is more precise, but needs packages counted on arrival. Many distributors count pallets by default and packages only for shippers who ask for it or consignments with a previous complaint.
Show the shift or keep it anonymous
Showing shortages per shift or team member helps target improvement, but can feel like blame. Anonymous reporting avoids that, but makes steering harder. A workable choice is reporting per shift in the team meeting and per person only in a conversation when deviations repeat. Agree on that beforehand.
Flag daily or review monthly
A daily overview of open shortages helps the hub find pallets while they are still on the floor. A monthly overview helps management see which rounds or shippers cause structural problems. The dashboard shows both separately, at a different level of detail, each with its own users.

Per distribution round the report shows shortages and damage reports, the step where the chain of scans breaks and a click through to the consignment. We look together at an ordinary round and at a round in which a pallet ended up with the wrong recipient, so the breakdown is right before you steer by it. Overviews per shipper and per hub shift, and a daily list of open shortages for the morning shift, can be switched on later.

Explore pricing and optionsWhat if network scans arrive late?
The dashboard only marks a shortage as final once all scans for that round have been processed. Until then a pallet without a scan shows as still open. A pallet is not wrongly reported missing while its scan is still on the way.
Can we separate damage on arrival from damage at the hub?
Yes, provided a photo or note is recorded on arrival. A pallet already damaged on arrival does not count as hub damage. That distinction matters when settling with the shipper or the network. Without that record, the case is flagged as unclear.
Do shippers see their shortages too?
A selection can be shown in the customer portal, such as their own consignments with a shortage and how it was handled. Internal causes per shift stay internal. What does work is an overview per shipper of resolved shortages and time to resolution, so a conversation about quality rests on the same facts.
How do we know whether an improvement works?
By following the number of shortages per round over a longer period, using the same definition. A change in working practice at the hub can be marked as a moment in the overview, so you can see whether things go differently afterwards.
