Transport and delivery: Enquiry form for pallet distributors
An enquiry form for pallet distributors that asks for pallet height, weight, stackability and the unloading facilities at the recipient, so a consignment is planned correctly first time.
What makes an enquiry complete for pallet distributors.
At pallet distributors, things often go wrong over a detail missing from the booking. A shipper books a full pallet but forgets it is taller than standard and cannot go under another pallet. Or the recipient has no forklift and the pallet is too heavy for a hand pallet truck. Only at the cross-dock or on delivery does it turn out that a tail lift was needed, or that the pallet takes a whole space in the trailer instead of half. The driver comes back, the shipper gets a surcharge they did not expect and the recipient waits an extra day. Stackability, weight and unloading facilities therefore belong in the same booking.

From form to assessed enquiry.
Ask for details per pallet
For each pallet the form asks for size, height, weight and whether anything can go on top. A shipper with several pallets adds them as lines, with different dimensions per line. If a height or weight falls outside what fits the standard round, the requester sees immediately that the consignment needs extra review.

Prepare it for planning
The request goes to planning as a consignment with pallet lines, unloading details and contacts. Planning can see straight away how many pallet spaces it takes and whether a tail-lift vehicle is needed. The shipper receives a confirmation listing the details given, so a wrong height can still be corrected.
Enquiries in one place, not the inbox.
Shippers currently book by email with a packing list, by phone or through the booking module of the network the distributor belongs to. Larger shippers sometimes send an export from their warehouse system. The form delivers consignments in the format the transport system or network expects, so nobody retypes pallet lines. The shipper remains owner of the dimensions and weights they declared; the distributor owns the check on arrival and the allocation to a round.
Pick a size or enter dimensions
A dropdown with full, half and quarter pallet is quick, but misses pallets with an odd footprint or overhang. Entering free dimensions is more precise, but shippers often do not know their pallet height exactly. A dropdown plus a height field and a tick box for overhang covers most situations without making the form long.
Let them choose a tail lift or infer it
You can let the shipper say whether a tail lift is needed, but many do not know. Inferring it from the questions about forklift, dock and weight is more reliable. The shipper then sees the outcome and can still change it if they know the recipient's situation better.
Per consignment or as a daily list
A shipper sending dozens of pallets a day does not want to fill in a form per consignment. An upload, or reading consignments straight from their own system, fits better. For occasional shippers, a form per consignment remains the simplest route. Both routes still run the same checks on height, weight and unloading facilities.

Per pallet the form asks for size, height, weight and stackability, the unloading facilities at the recipient are recorded and the consignment goes straight to planning. Two consignments are gone through together before the form opens: two stackable pallets to a business with a loading dock, and an overheight pallet for a private address without a forklift. Uploads for regular shippers and booking through the network's booking module can be switched on when you are ready for them.

Explore pricing and optionsWhat if the shipper enters the wrong pallet height?
The pallet is checked on arrival at the hub. If the height differs, that is recorded against the consignment with a photo, and the surcharge or allocation can be adjusted. The shipper sees the correction, so they give the right height next time.
Can the form ask about access at the delivery address?
Yes, with short questions about narrow streets, a barrier, time windows or a maximum vehicle length. That decides whether the pallet can be delivered by an articulated lorry, a rigid truck or a smaller vehicle. Anything the shipper does not know can be left open.
How do we handle dangerous goods on a pallet?
The form can ask whether the pallet holds goods covered by dangerous goods rules. If so, the request goes to a colleague who decides whether you can carry that consignment and which documents need to go with it.
Do shippers need an account to book?
Not for a single consignment. Regular shippers do benefit from an account with saved addresses, standard pallets and contacts. A new booking then takes little effort and the data stays consistent for the distributor. New shippers can be given an account after a few bookings.
