Transport and delivery: Digital job cards for pallet distributors
Digital job cards for pallet distributors in the form of a shipment card with loading details that travels with the pallets from hub to recipient and records every scan and exception.
What a job card for pallet distributors should hold.
A pallet at a pallet distributor passes through many hands: the driver who collects, the hub team who unload and sort, the colleague who loads the distribution round and the driver who delivers. Each step has its own slip or scan, but nobody sees the whole picture. If damage was noticed on arrival, the delivery driver does not know. If the consignment note says the recipient needs a tail lift, that gets lost when reloading. And when a recipient refuses a pallet because a box is missing, there is no way to tell at which step it went wrong.

Create the card at collection
At collection or arrival at the hub, each consignment gets a card with pallet lines, loading details, unloading facilities and the recipient contact. The label on the pallet points to that card. Whoever scans the pallet sees at once what applies, such as do not stack or tail lift required.
Scan every handover
At unloading, sorting and loading, the team member scans the pallet and confirms its condition. If someone spots damage, loose wrapping or a missing package, they record it with a photo. That note travels on, so the next link in the chain knows what is already known and when it was seen.
Deliver with proof
On delivery the driver scans the pallet, has the recipient sign and notes any remarks, such as a damaged corner or a refused pallet. Exchanged empty pallets are recorded on the card too. The card is then complete: from collection to delivery with every step in between.
No more paper and loose photos.
Pallet distributors often already scan with handheld scanners or their network's app, and have a transport system with consignment notes. The shipment card uses those scans and adds condition, photos and unloading details in one place. The network remains owner of the consignment status sent to partners; the distributor owns the data created in its own hub and rounds. Existing labels can stay if they carry a unique consignment number.
One card per consignment or per pallet
A card per consignment keeps things simple, but a multi-pallet consignment can be split along the way. A card per pallet follows each carrier separately, but adds work. Many distributors use a consignment card with its own line and scan per pallet, so a split stays visible.
Photo at every step or only on exceptions
A photo at every handover gives complete evidence, but costs time on a busy hub. Only photographing exceptions is faster, but leaves a gap if damage is reported later. A workable choice is a photo on arrival and on delivery, with photos in between only for exceptions.
Handheld scanner or phone
Handheld scanners are robust and fast on the hub, but expensive and often tied to one system. A phone is flexible and has a camera for photos, but scans more slowly. Many distributors keep scanners at the hub and use phones in the vehicles, with both feeding the same card.

Every consignment gets a card with pallet lines and loading details; scans and deviations at unloading, sorting and loading are recorded on it and the proof of delivery closes it, including pallet exchange. Your deviation types and exchange rules are ready at the start. Together we follow an ordinary consignment of two pallets and a pallet that turns out damaged on arrival and is refused at delivery. The network scans on the same card and sharing the card with the shipper are switched on once you want them.

Explore pricing and optionsCan we keep using our existing labels?
If the label has a unique consignment number or barcode, the card can be linked to it. New labels are only needed if the current label lacks a clear reference. We check that using a handful of real consignments.
What if a pallet is split along the way?
Each part gets its own line on the same card, with the reason for the split. On delivery the recipient sees which part is arriving and whether more is to follow. A pallet does not drop out of sight because it travelled on two rounds.
Who can record an exception on the card?
Anyone handling the pallet: hub staff, driver or loading team. Each note is stored with name, time and photo. Follow-up, such as contacting the shipper, lies with customer service or the planner. The shipper hears about it once a decision has been made, not with every single note.
Does the shipper see the shipment card too?
Part of it: the scans per step, any exceptions that affect them and the proof of delivery. Internal remarks from the hub team stay internal. What is shared can be agreed per shipper, so they have evidence for their own customer without looking into the hub's daily work.
