Transport and delivery: Inventory software for pallet distributors
Inventory software for pallet distributors that tracks how many pallet carriers are at the hub, how many sit with shippers and recipients, and what the exchange balance is per relation.
Where stock drifts for pallet distributors.
A pallet distributor works with thousands of carriers that never stand still. Euro pallets are exchanged on delivery, but the recipient does not always have the same number to give back, or hands over broken ones. Block pallets and one-way pallets get mixed up. Drivers note the exchange on a receipt, but those receipts reach the office days later. Meanwhile nobody knows how many usable pallets are at the hub or how many a shipper is still owed. At the end of the year the gap turns out to be large, and there is no way to trace where it arose.

Register carriers by type
The software distinguishes carrier types, such as euro pallets, block pallets and one-way pallets, and for each the quality: good, repairable or rejected. Hub stock is recorded at a count and then updated with every arrival and issue. What is actually usable stays visible.
Record exchange on delivery
At each delivery the driver records how many carriers were delivered and how many taken back, with the quality of those taken back. If the recipient returns fewer, an open balance arises with that relation. The recipient signs for the exchange, so the balance has a basis.
Update the balance per relation
Per shipper and recipient the software shows the current exchange balance: how many carriers they owe or are owed. Rejected pallets handed back as good ones show up separately. The planner can have empty pallets collected on a later trip from a relation with a high open balance.
Alongside your purchasing and suppliers.
Pallet balances are often kept in a spreadsheet based on pallet receipts, sometimes alongside records in the network or with a pallet pool operator. The inventory software reads exchanges from the shipment cards and counts at the hub, and supplies balances to the office and the portal. The distributor owns its own hub stock; per relation, the signed receipts are the basis. Arrangements with a pool operator stay recorded there and are only taken over as a balance.
Exchange or no exchange
Some distributors exchange by default on delivery, others charge a fee per pallet and do not exchange. Exchanging keeps pallets in circulation but needs recording at every stop. Not exchanging is simpler, but turns the pallet into a cost. The software must be able to record per shipper which arrangement applies.
Record quality or only quantities
Counting only numbers is quick, but hides a recipient who keeps returning broken pallets. Recording quality per pallet takes time. A middle way is having the driver count rejected pallets separately, so the rest count as good unless the hub decides otherwise on arrival. Both stay visible in one list.
Settle balances at once or periodically
Settling a balance at the next consignment stops it building up, but the driver needs to know about it on site. Periodic settlement, with a monthly overview, is clearer for the office. The risk is that a large balance only gets noticed late. An alert at a threshold per relation helps prevent that.

At the hub, carriers are registered by type and grade, the exchange is recorded at every delivery and the exchange balance is visible per shipper and per recipient. Your opening balances go in at the start. An ordinary distribution round and a recipient who returns fewer and partly rejected pallets are checked through together. Collection orders for empty pallets when a balance runs high and exchanging balances with the pool company you work with are added later.

Explore pricing and optionsWhere do we start if our current balance is wrong?
With a count at the hub and reconciliation with your largest relations. From then on the software keeps track. Old differences can be entered as an opening balance with a note, so they do not vanish but also do not muddy the new data.
What if a recipient refuses to exchange pallets?
The driver records that the exchange was refused and how many pallets were delivered. The balance with that relation rises and the planner or office gets a notification. Whether the pallets are charged or collected later depends on the arrangement with the shipper.
Can we keep one-way pallets out of the balance?
Yes. One-way pallets are registered as a separate type without an exchange obligation. They do not count towards the balance, but are visible when they arrive at the hub, so they are not issued as euro pallets by mistake.
Do shippers see their balance in the portal?
Yes, the balance and the receipts behind it. A shipper can then check whether it matches their own records. If there is a difference, they can raise a question from the portal against the receipt concerned.
