Transport and delivery: Customer portal for pallet distributors
A customer portal for pallet distributors where shippers follow the tracking status of their pallets, download proofs of delivery and pallet receipts, and ask questions about a consignment.
What customers of pallet distributors want to see.
Shippers working with a pallet distributor mostly call for two reasons: where is my pallet, and where is the proof that it was delivered. The status sits in the network's system, but the shipper cannot see it or only in a technical form. A pallet receipt showing how many pallets were exchanged sits in a folder at the hub or as a photo on the driver's phone. At month end the shipper asks for an overview of all the pallets they sent out and got back, and someone in the office has to gather every receipt. Questions about a damaged pallet also arrive without a consignment number.

Set access per shipper
Each shipper sees their own consignments, and within a larger company you can decide per site or department who sees what. A warehouse operative sees consignments in progress; the finance team sees completed consignments with proof and pallet balance. Other shippers' consignments stay out of view.
Show status in plain language
Network scans are translated into recognisable steps: collected, at the hub, on a distribution round, delivered, or not delivered with a reason. The shipper sees the time of each step. For a failed delivery the reason is shown, such as no unloading point or recipient closed, so they can inform their own customer.
Proof and questions per consignment
Proofs of delivery and pallet receipts sit with the consignment, ready to download. An overview per period shows how many pallets went out and came back. If the shipper has a question, they ask it from the consignment, so customer service knows straight away what it is about.
Less email, the same records.
Shippers currently receive a tracking link from the network and proofs by email on request. The portal reads statuses from the network and your own transport system and proofs from the shipment cards, without new input from the hub. The network remains owner of statuses; the distributor owns proofs and pallet balances. Large shippers can also receive statuses in their own warehouse system instead of logging in.
Network tracking or your own portal
Many networks offer their own tracking, but it only shows statuses, not proofs or pallet balance. Your own portal gives shippers one place for everything, but requires statuses to be carried across reliably. Some distributors point to the network for status and use the portal only for proofs and balances.
Show a pallet balance or just receipts
Showing only individual pallet receipts is simple, but leaves the shipper to do the sums. A running balance per shipper gives an instant overview, but it has to be right or disputes follow. Anyone showing a balance must also show the receipts behind it. When in doubt, a list of open receipts per shipper helps.
Give recipients access or not
The recipient of a pallet sometimes wants to know when it is coming too. Giving them access takes pressure off the shipper, but needs agreement on what they see. A tracking link without price or sender details is often enough. A recipient who can follow their pallet calls the shipper less, who in turn calls customer service less.

Shippers see their consignments with a status in plain language, download proofs of delivery and pallet receipts, and keep track of how many pallets went out and came back. Document types and access per shipper are set up at the start. Before shippers get in, we look together at an ordinary consignment and a failed delivery: are the reason and the next step clear straight away? A tracking link for recipients and passing statuses on to the systems of large shippers can be switched on later.

Explore pricing and optionsCan shippers book through the portal too?
Yes, with the enquiry form and their saved addresses and standard pallets. The booking reaches planning like any other consignment. There stays one route for consignments, whether they come through the site, the portal or an upload.
What if a shipper disputes the pallet balance?
They open the underlying receipts from the overview. Each receipt shows how many pallets were handed over and taken back, with a signature. A difference can then be traced to a specific delivery instead of two lists that do not match.
Does the shipper see the hub's internal notes?
No. Only exceptions that affect their consignment, such as damage or a failed delivery, are shared with them. Internal notes about sorting or planning stay internal. A remark such as do not stack or pallet rewrapped at the hub can be shown if it matters to the shipper.
Can several sites of one shipper share the portal?
Yes. A shipper with several warehouses can set access per site and see everything at head office. The pallet balance can be shown per site or for the whole shipper, depending on how they manage their pallets.
