Open the plan per zone
The fitter opens the current version of the fit-out plan for each zone, with every piece shown as a furniture code on the floor plan alongside its configuration. Changes from the previous version are highlighted. Manufacturer assembly instructions are reachable per code, so the fitter does not have to hunt through loose manuals.
Record placement and deviations
For each furniture code the fitter marks whether it is installed, missing, delivered damaged or different from what was ordered. For a deviation they take a photo and choose a reason. Missing parts immediately become an open item for the project manager, with zone and furniture code, so a follow-up delivery can be requested.
Hand the zone over
When a zone is finished, the fitter reports it with an overview photo. The project manager sees per zone what is done and what is outstanding. Snags such as a missing cable tray or a scratch on a cabinet go onto the handover list, so they do not get lost among the rest of the work.

The fit-out plan comes from the company's drawing software and the furniture codes from the approved quote. The job card shows both and only adds the status per code. Fitters use a phone or tablet; a printed floor plan with codes can serve as a backup. Open items go to the project manager and, where needed, to whoever requests follow-up deliveries from the manufacturer. The manufacturer remains the owner of assembly instructions and warranty terms.
Record per piece or per zone
Recording each piece gives a precise picture of what is installed and makes follow-up deliveries targeted. It does take time with large numbers of identical desks. Recording per zone is quicker, but misses which unit has a problem. A middle route is signing off per zone and recording only deviations per furniture code.
Damage on delivery or during installation
Damage present on delivery usually falls to the manufacturer or carrier. Damage during installation is for the fit-out company's account. If fitters take a photo when unpacking and choose the reason, it is clear later who is responsible. That saves arguments with both manufacturer and client.
Fitter reports or project manager decides
A fitter who spots a deviation can sometimes fix it on the spot, for example by swapping two desks. That is efficient, but makes the plan unreliable if it is not recorded. So have fitters report every deviation and suggest small fixes, while the project manager decides what changes in the plan.

That is how it is ready on the first installation day. Beforehand we walk through an ordinary day on one floor together, and a day when some of the desks arrive with the wrong top. Yes. The job card is loaded before leaving and also works offline. Statuses and photos are saved and sent once there is a connection again. That helps in basements, new builds without a network or buildings where the guest network is not working yet.
What if the client asks for a change on site?
The fitter records the request as a note on the zone, but does not carry it out without approval. The project manager judges whether it is extra work and updates the plan if needed. The fit-out plan stays accurate and extra work is not given away unnoticed.
How do we see which parts still need to be delivered?
Every missing part becomes an open item with zone, furniture code and photo. The project manager sees a list per project and can track per item whether the follow-up delivery has been requested and when it is due. On delivery the fitter closes the item.
Do fitters see furniture prices too?
No. The job card shows only what installation needs: furniture code, configuration, position and instructions. Purchase and selling prices stay in the quote and the accounts. That keeps the screen clear and stops sensitive information reaching subcontractors.
