Business supplies and services: Customer portal for office fit-out companies
A customer portal for office fit-out companies where facilities managers review and approve layout versions, make choices per zone and follow completion items until everything is signed off.
What customers of office fit-out companies want to see.
During a project with office fit-out companies, dozens of floor plan versions go back and forth. The facilities manager forwards the drawing to department heads, who each email back their own comment. After a few weeks nobody can say which version is current. Fabric samples and colour choices are discussed in a showroom and then confirmed in an email nobody can find. After installation the client gets a snag list in a spreadsheet and keeps asking when the missing cabinets will arrive. The fit-out company answers those questions by phone, even though the information is already with the project manager.

From invitation to approval.
Share and discuss layout versions
Every new version of the layout appears in the portal with the changes from the previous one. The facilities manager can invite colleagues to look and leave comments on the floor plan. Only the contact with decision rights approves a version, and that approval is recorded.
Record choices per zone
Colours, fabrics and finishes are chosen per zone from the options the adviser has prepared. The client sees what each choice means for price and lead time. Once a choice is made, the adviser sees it straight away and works it into the final quote and order.
Follow completion items
After installation the client sees per zone which completion items are open, such as a missing cabinet or a damaged desktop, with the expected repair date. They can add items themselves with a photo. Only when every item is closed is the handover marked as complete.
Less email, the same records.
The portal shows floor plans from the drawing software, choices from the quote and completion items from the job cards; it does not replace those systems. The fit-out company remains the owner of drawings and quotes, the client of their comments and approvals. Architects or project managers on the client side can get read access. Invoices and payments stay in the accounting package and are shown at most as documents, so there is no second place where amounts can differ.
Access for everyone or one contact
Giving every department head access gathers plenty of input, but can produce conflicting wishes the fit-out company has to weigh up. Giving access only to the contact keeps things clear, but makes them responsible for collecting internal responses. A middle route lets everyone comment and only the contact approve.
Comments on the drawing or in text
Placing comments directly on the floor plan is intuitive for a client: an extra cabinet here, a plant there. Text comments are easier to process, but lose the location. The portal can do both, with comments pinned to a position and listed for the adviser.
Share the snag list or keep it internal
A shared snag list shows the client what is still happening and prevents phone calls. It does mean every scratch is visible, including those still being discussed with the manufacturer. You can choose to settle internal items first and only then make them visible to the client.
What customers find in the portal.
From the start the client portal shares layout versions with comments and approval, records choices per zone and shows snags after installation. Before the first client logs in, we replay a client approving one version, and a project in which two departments put conflicting wishes on the same drawing. Read access for architects, the installation schedule in the portal and documents such as warranty certificates and care advice per furniture line can be added later.

Explore pricing and optionsCan the client still see older versions of the floor plan?
Yes. All versions remain available, with the date and who approved or commented on them. The current version is at the top. The client can trace why a choice was made and avoid arguments about an old agreement.
What if the client makes a choice that extends the lead time?
Each option shows its expected lead time. If the client picks a fabric or finish that ships later, they immediately see what that means for the schedule. The adviser is notified and can get in touch if the handover date is at risk.
Can the client report completion items themselves?
Yes, with a photo and a location on the floor plan. The item reaches the project manager, who judges whether it is a defect, damage or a new request. The client sees the status of their report and when it will be resolved.
Is the portal still useful after handover?
Yes. After handover the floor plan, furniture list and warranty information remain available. If the client later wants to expand or reorder a part, the adviser sees exactly what is in place. That makes follow-up work easier for both sides and avoids a fresh survey.
