Business supplies and services: Scheduling software for office fit-out companies
Scheduling software for office fit-out companies that aligns delivery crews, factory lead times and a building's access window, so installation is only booked once everything lines up.
What makes scheduling hard for office fit-out companies.
Office fit-out companies schedule installation around constraints they do not control. Manufacturers deliver in part shipments with different lead times, the building is only accessible outside office hours or at weekends, the goods lift has to be booked with the building manager and the flooring contractor must finish before the desks can go in. A crew standing at the door at six on a Monday while the chairs only arrive on Wednesday loses a day. Conversely, pallets of furniture sometimes sit in a corridor for days because no crew is free. The planner tracks all this in a calendar and confirmation emails, and cannot see at a glance which installation can really go ahead.

Define installation work per zone
Based on the approved layout, the schedule determines how much installation work each zone needs and in what order: partitions and acoustics first, then desks and storage, then chairs and accessories. Each step gets an estimated duration and the number of fitters required, showing how many crew days a project takes.
Delivery and access as conditions
Installation of a zone only becomes firm once the related deliveries are confirmed and the building is accessible in that window. For each building the access times, lift booking and the building manager's contact are recorded. If a confirmation is missing, the installation stays provisional with the reason shown.
Deploy and reshuffle crews
The planner sees per crew which projects run on which days. If a manufacturer delivery slips, the software shows which installation days drop out and which crew becomes free. The planner can bring another zone forward or schedule a different client, and the client receives an updated plan.
Alongside your calendar and your team.
Office fit-out companies order from manufacturers through their portals or by email, and receive order confirmations with delivery weeks. Those confirmations remain the authority on delivery; the schedule reads in the confirmed dates. Fitters are either in-house staff or regular subcontractors with their own calendars. Building managers use their own booking systems for lifts and loading bays, so the schedule records the booking but does not make it.
All at once or in phases
Installing everything in one weekend means staff start on Monday in a finished office, but requires large crews and complete delivery beforehand. Phasing by floor or zone spreads the work, but means staff work around installation for a while. The choice depends on the client and on how reliable the lead times are.
In-house fitters or subcontractors
In-house fitters know the products and the way of working, but are limited in number. Subcontractors make peaks manageable, but need clear instructions and agreements on handover. The schedule can show both, with the product ranges each crew knows, so a subcontractor is not sent to a complex system they have never fitted.
Store first or deliver to site
Delivering straight to site saves a transfer, but requires the building to be ready and space to set down pallets. Storing in your own warehouse first gives control over completeness, but adds transport. With a tight access window, storing first is often wiser, because the crew can then bring everything in one run.
What we set up in the schedule.
At the start the planning holds the zones with confirmed deliveries, access windows and crew capacity, with provisional and final installation days. Together we replay an ordinary single floor move, as well as a project where a manufacturer delivers a week later than confirmed. Only once the planner can resolve both does it go live. Sharing the planning with the client and building management and automatically reading manufacturers' order confirmations with their delivery weeks can be added later.

Explore pricing and optionsCan the client see the installation schedule?
Yes, if you want them to. The client sees per zone when installation takes place and what is expected of them, such as a cleared room or someone to let the crew in. Internal details such as which crew is coming or which subcontractor is used stay internal.
What happens if the flooring contractor or decorator overruns?
The zone concerned is blocked with the reason recorded. The planner sees which installation days are at risk and can do another zone first. The client receives a notice with the new expectation, so they can inform their staff in good time.
How do we handle work outside office hours?
For each building you record when work is allowed. The schedule only permits installation days within those windows. For evening or weekend work it also shows which fitters are available, so no crew that only works daytime is booked.
Can fitters see their own schedule?
Yes. Fitters see their days with address, access instructions, contact person and the zones they are fitting out. If the schedule changes, they get a notification. A crew then knows in advance whether to collect a pass at reception or use the goods lift.
