Events and rental: Invoicing software for mobile bar operators
Invoicing software for mobile bar operators that turns consumption, service time and extensions from the job card into an invoice you check first and then send with a payment link.
Where invoices stall for mobile bar operators.
For mobile bar operators, the invoice after an event is often the moment everything scattered across different places has to come together. The package is in the quote, the extension in a message from the bar lead, the count on a scrap of paper and the breakage in a photo. With consumption based pricing someone has to convert usage into drinks or bottles and compare it with what was bought. If that happens a week later, nobody remembers whether the last round at half past one was agreed. A dispute with the organiser follows, and whoever does the invoicing spends more time investigating than billing.

From finished work to paid invoice.
Gather the basis
Per event, the accepted package, the confirmed end time, the extension with the decision maker's name, the consumption count and the recorded breakage are already in the software. If something from the job card is still missing, it is flagged and the invoice waits. Nobody starts an invoice that will later turn out wrong.
Compare against the quote
The draft invoice compares what was delivered with what the quote said. Longer service, consumption beyond what the package covers or extra breakage are shown separately with their source. Whoever invoices decides per difference whether it is charged or waived as a gesture of goodwill.
Send the invoice
After review the invoice goes to the organiser with a payment link, the right lines, VAT rates per type of drink or service and a reference to the event. Deposits already paid are offset. Reminders go out automatically and per event you see whether it has been paid.
Invoicing from the same software.
Bar companies now often invoice with a deposit invoice after acceptance and a final invoice after the event, put together from loose notes and messages. In the invoicing software the quote, job card and count are already together, with your items and rates. Every line traces back to the quote and the job card. Whoever invoices on your side decides when something actually goes out. Your bookkeeper can look along or receive an export.
Deposit or bill everything afterwards
A deposit after acceptance covers purchasing and reserving people and cooling, and gets the organiser committed early. Invoicing everything afterwards is simpler, but you carry the risk if an event is cancelled. The software handles both and offsets a deposit automatically against the final invoice.
Charge per drink or per bottle
Charging per drink is easy for the organiser to understand but requires converting bottles and kegs into glasses. Charging per bottle or keg is easier to count but feels less transparent to a private client. Choose a unit that suits your package and record the conversion, so every invoice is produced the same way.
Charge small differences or let go
A quarter of an hour over or a few broken glasses can be waived for the sake of the relationship or charged properly. Which you choose matters less than being consistent. A threshold per type of difference, set by you, ensures the draft invoice only shows the differences worth discussing.

Package, end time, extension, consumption and breakage come together on the invoice per event, with differences from the quote set apart and your VAT rates, payment link and reminders in place. Before going live we walk through an event on a fixed package together, and a consumption based party that runs late and has a deposit paid. Thresholds per type of difference and a summary the organiser sees beforehand can be switched on later.

Explore pricing and optionsCan the software handle different VAT rates?
Yes. For each type of line, such as alcoholic drinks, soft drinks or service, the rate belongs to the item. We record those rates together at the start and the software does not invent them. If you are unsure about a rate, check with your accountant before it goes into the settings.
What if the organiser disputes the consumption?
The invoice shows when counts were made, by whom and whether the client signed the summary. That gives you a factual conversation instead of an argument based on impressions. Whether you end up offering a discount remains your decision.
Are invoices sent to the organiser automatically?
No. The software prepares a draft invoice, someone on your side checks it and sends it with a payment link. A person always looks at the amount, especially for events with extensions or unusual consumption. Only the reminders after that go out by themselves.
How do we handle a cancelled event?
A cancellation becomes its own type of close-out using the cancellation terms from the quote. The software shows the deposit already paid and what the agreement says should be charged. You decide whether to invoice that or offer a new date.
