Where invoices stall for laboratory fit-out companies.

Invoicing at laboratory fit-out companies usually runs in stages: on order, on delivery and on handover. But a project rarely progresses room by room at the same pace. One room is handed over, another waits for a worktop, a third is delayed by the builders. Variations arise on site: an extra filler panel, a moved tap, an extra installation day because a room was not free. If the stage invoice only looks at a percentage of the total, you bill rooms that are not finished or forget variations that were never recorded. The client then rightly asks for justification.

Example
  1. 1

    Gather installed work per room

    Done

From the fit-out schedule the software lists per room what has been installed, connected and handed over, next to the items in the accepted proposal.

  2. 2

    Review variations and omissions

    In progress

Deviations recorded on site appear as proposed lines with photo and reason.

  3. 3

    Send the stage invoice

    Next

The invoice with stage, installed work and approved variations goes to the client with a payment link.

From finished work to paid invoice.

Gather installed work per room

From the fit-out schedule the software lists per room what has been installed, connected and handed over, next to the items in the accepted proposal. Per room you can see which part of the work is finished, and which part is still open or waiting on another party.

Review variations and omissions

Deviations recorded on site appear as proposed lines with photo and reason. The project manager assesses whether it is a variation, whether the client confirmed it and whether an omission offsets it, such as a dropped module. Only after that review does it go on the invoice.

Send the stage invoice

The invoice with stage, installed work and approved variations goes to the client with a payment link. Per room the software tracks what has already been invoiced, so the next stage only contains new work. Reminders go out automatically, and any retention until the last snags are cleared stays visible as outstanding.

Invoicing from the same software.

Most fit-out companies keep stage schedules in a spreadsheet today. In the same software the accepted proposal with items and prices and the fit-out schedule with the state of the work already sit together, so the invoice comes from there. The fit-out company owns the invoice; the client owns the confirmation of variations. On projects through a main contractor, the invoice goes to that party under its own requirements. We set up VAT rates and payment terms at the start; your accountant gets an export.

Stages by percentage or by work done

A stage schedule by percentage is simple and often set in the contract. Invoicing installed work per room is fairer and easier to justify, but needs an up to date fit-out schedule. A combination is common: the schedule as the framework, with the state of the work as backing for each stage.

Bill variations one by one or batched

Invoicing each variation as it arises makes it visible at the moment it happens, which prevents arguments at the end. Batching until handover is calmer, but a tap moved months ago is then hard to justify. A middle ground is to include variations in the next stage invoice.

Retention until snags are cleared

Many clients hold back part of the final stage until snags are resolved. The software shows that retention and tracks per room which items are still open. The fit-out company can then work specifically on the items holding up payment, which speeds up the final settlement.

What we set up for your invoicing.

Installed work per room and recorded deviations sit together, the project manager reviews variations and omissions, and the stage invoice goes out with a payment link. That is how we set up invoicing. Together we walk through an ordinary project handed over in one go, and a building where one room is installed months after the rest. Retention per room, tied to the snags, can be switched on later.

Is anything invoiced automatically at handover?

No. The software proposes what is billable; the project manager or accounts team checks and sends. A person confirms that the state of the work matches what was agreed and whether there are variations the client has not yet confirmed.

How do we justify variations to the client?

Every variation on the fit-out schedule has a photo, a reason, the name of whoever requested it and a confirmation. Those details go with the invoice as an attachment. The client sees exactly why a line is there and when it was agreed.

Can we invoice per room if the client wants that?

Yes, the software can group invoice lines by room or by department, for example when costs are charged to different budgets. We agree that at the start, so the proposal and the stages are also built up per room.

What if a module has been delivered but not installed?

That depends on your terms. If delivery is a stage of its own, the module goes on the invoice at delivery. If installation is the trigger, the line waits until the fitter has ticked the module off. The software follows the schedule set out in the contract.
