Outdoor spaces and grounds: Inventory software for irrigation installers
Inventory software for irrigation installers that tracks sprinklers, solenoid valves, pipe and fittings per warehouse and per van, with reservations for scheduled projects and fault parts to hand.
Where stock drifts for irrigation installers.
Irrigation installers work with many small parts in many variants: sprinklers with different radius and arc, solenoid valves from several brands, fittings per pipe diameter, drip line per emitter spacing. A technician who needs a replacement valve at a fault call must have the right type with him, or it becomes a second trip. In spring, large quantities go out for new installations, and halfway through a project a particular sprinkler turns out to be gone. Nobody knows exactly what is in the vans, because technicians top up from the warehouse without it being recorded.

Record items by variant and place
Each item is recorded with the variant that matters: radius and arc for sprinklers, brand and connection for valves, diameter for pipe and fittings. Each van is a location of its own, alongside the warehouse. You can see what is where and whether a technician has the right part with him.
Reserve for projects
A scheduled project reserves the parts from the quote's materials list. The stock keeper sees what is free and what needs ordering before the excavation crew starts. A shortage appears as a warning well before installation, not on the day itself.
Update usage and van stock
After the work, the job card books out the material actually used. What a technician takes from the warehouse to his van is recorded as a transfer. A fixed minimum stock of fault parts per van shows when topping up is needed, and the technician sees that on his phone.
Alongside your purchasing and suppliers.
Stock is currently tracked in a spreadsheet, the wholesaler's system or by eye in the warehouse. The inventory module takes over your existing items and links to quotes for reservations and to job cards for usage. Orders to wholesalers go as now, but with a suggestion from stock. The warehouse manager owns the stock, the technician the contents of his van. Purchase invoices stay in the accounting package.
Many variants in stock or a limited range
Holding every variant of sprinkler and valve gives flexibility, but ties up money and space. Limiting stock to a fixed set of components you install as standard keeps it manageable. Fault calls on systems installed by others sometimes need an exception, ordered as required. That decision is made per call.
Record van stock or top up freely
Letting technicians top up freely from the warehouse is quick, but makes stock unreliable. Recording every transfer takes a few seconds each time, but gives an accurate picture. With a fixed list per van and a short weekly count, the admin burden stays small. Counting also catches parts that went missing.
Track pipe per coil or per metre
Pipe arrives on coils but is used by the metre. Tracking per coil is simple, but says little when there are part coils in the warehouse. Booking out per metre via the job card gives a more accurate picture, with an occasional correction after a count. Short ends on a coil stay visible that way.

Items by variant and location, reservations per installation and deductions via the job card, including stock in the vans: that is how stock begins. Together we go through a busy spring week with several installations, and a fault call where the technician needs a valve from a different brand than you normally use. Reorder suggestions to wholesalers and minimum stock per van can be switched on once the count is right.

Explore pricing and optionsCan we see which van has a particular valve?
Yes, if each van is tracked as a location. The planner or technician can search for the valve type and see which vans carry it. For a fault call, you can then send the technician who already has the part with him.
How do we handle parts for other installers' systems?
Those are often ordered as needed because they are not standard stock. Inventory can record them as a temporary item, booked out after the fault call. If the same part comes up often, that is a reason to stock it.
Can we prepare stock for spring?
Yes. Based on scheduled projects and seasonal visits, you can see which parts will be needed in quantity in spring. A reorder suggestion can then be made well before the season, so you are not dependent on lead times in the busiest weeks.
What about parts left with the client?
Spare sprinklers or an extra valve left with the client are booked out as delivered and recorded in the system file. At the next fault call, the technician knows there is already a spare on site.

- Website for irrigation installersA website for irrigation installers that explains which irrigation system suits a garden, sports pitch or business site, and why water pressure and zones shape the design.
