Transport and delivery: Digital job cards for delivery and assembly operators

Digital job cards for delivery and assembly operators in the form of an assembly job card at the delivery address, bringing together items, completed work, outstanding items and the consumer's sign-off.

Digital job cards for delivery and assembly operators. A digital job card that tracks preparation, execution and handover. Example with demonstration data.

What a job card for delivery and assembly operators should hold.

At a delivery and assembly operator, the crew arrives at a home with a list of items and a vague description of the work. On site, a shelf turns out to be damaged, a bag of fittings is missing or the consumer wants the wardrobe against a different wall after all. The crew solves it or leaves it, but what exactly happened is recorded nowhere. The shop only hears about a problem when the consumer complains. An outstanding item needing a second visit is passed on verbally and forgotten. And if the floor gets damaged, there is no photo of how things looked before assembly.

From preparation to signed-off card.

Prepare the card per address

Each delivery address gets an assembly job card with the items, the agreed service per item, the home situation and the consumer's notes. The crew also sees which assembly kits and spare parts to bring. What is expected of them is clear in advance.

Record assembly and exceptions

On arrival the crew photographs the room. For each item they record whether it was assembled, placed or left unfinished, with the reason. If a part is missing or something is damaged, an outstanding item is created with a photo and item code. Time that differs from the standard is recorded too.

Hand over with the consumer

The crew walks through the work with the consumer, who signs for what has been completed and sees the outstanding items still open. The planner receives the card immediately, so a second visit or a replacement part can be arranged before the consumer calls.

No more paper and loose photos.

Fitters often work from a printed packing list or a retailer app that mainly records proof of delivery. The assembly job card uses the retailer's order and adds assembly, outstanding items and photos. The retailer remains owner of the order and of sending any replacement parts; the operator owns what was done on site. The software sends proofs of delivery back to the retailer's system, or the retailer sees them with photos and sign-off in its own overview.

Before and after photos or damage only

A photo of the room before and after assembly gives evidence if there is a complaint about damage to a wall or floor, but adds a few steps per address. Photographing only damage is faster, but allows no comparison. For expensive items or new floors, the before photo is usually worth it.

Outstanding items by crew or planner

The crew sees on site what is missing and can record the outstanding item straight away. But the planner decides whether it becomes a replacement delivery, a second visit or a credit. A workable split is that the crew creates the item and the planner handles it, with the decision visible on the card.

Sign per item or per visit

Signing per item is precise, but asks a lot of the consumer. One signature per visit with an overview of assembled items and outstanding items is simpler. What matters is that the consumer sees what is still open before signing, so no argument arises later. An on-screen signature is enough.

What goes on the job card.

Each crew gets an assembly job card per address with items and service. Fitters record assembly and outstanding items per item with a photo, and the consumer signs off. We set the card up with your item types and kinds of outstanding items. We walk through an order for a wardrobe and a bed together, and also an order where a part is missing so the wardrobe cannot be finished. Before and after photos and arranging replacement parts through the retailer can be added later, once crews are used to the card.

What if the consumer wants something different on site?

Small adjustments, such as moving a wardrobe half a metre, the crew can record and carry out. Bigger changes, such as assembling an extra item, go on the card as a request. The planner decides whether it can be done and at what price, so the crew does not have to negotiate on the doorstep.

How does the crew know which spare fittings to bring?

The job card shows per item which assembly kits and spare parts belong with it. The crew picks them in the warehouse and confirms they are on board. If something is missing, the planner sees it before the trip leaves.

Does the retailer see the job card?

The retailer sees the proof of delivery, the status per item and outstanding items that affect them, such as a damaged part that needs replacing. The crew's internal notes stay internal. What is shared is agreed per retailer.

Can the card work offline?

Yes. In basements, new builds or old buildings, signal sometimes drops. The card stores photos and records locally and sends them as soon as there is a connection. A marker shows what has not yet been sent, so the planner knows the data is on its way.
