Outdoor spaces and grounds: Digital job cards for habitat management contractors
Digital job cards for habitat management contractors that send each area assignment to the crew with map and boundaries, and bring back work done, hours and observations per compartment.
What a job card for habitat management contractors should hold.
A habitat management crew often heads out with a printed map on which the compartments are circled in marker. On site, a compartment turns out to lie differently from what the map suggests, there is stock fencing that was not on the drawing, or a nest sits in the margin. The supervisor deals with it but at best writes it on the back of the map. Hours are filled in from memory at the end of the week, with no split per compartment. Afterwards nobody can tell exactly what was done, what was deliberately left and for what reason.

Send the job with its map
The crew gets a job card per area with the map, drawn work boundaries, the measure per compartment, agreed exclusions such as quiet zones and the access arrangement. On site, the map shows where the supervisor stands relative to the boundary. That leaves less room for argument about where the work starts and stops.
Log work per compartment
For each compartment the supervisor marks whether it was done, partly done or not done, with hours per machine and person. If a section is deliberately skipped, for example around a find or a waterlogged patch, a short reason and a located photo follow. Observations the client wants to hear about go along as a note.
Review and close the card
The works planner sees per area what was carried out against what was approved. Deviations need a decision: finish later, drop it or charge for it. Only once that decision is made does the card move on to the completion report and invoicing, with a map of what was actually done.
No more paper and loose photos.
Habitat management contractors mostly use paper job sheets or a simple time tracking app, and sometimes location tracking on machines. Where machines already log their route or running hours, we read that in to support the job card rather than have it entered twice. The area map remains the client's property; the job card keeps track of which version was used in the field. Hours go to payroll in the format it already expects.
Log per compartment or per day
Logging per day is quick but says nothing about the cost of each compartment or which part of the area took what time. Logging per compartment is more precise and helps with future quotes, but needs discipline in the field. A middle way is hours per day and only status and deviations per compartment.
Phone or rugged tablet
Everyone already has a phone, but it is hard to read in bright light and with gloves on. A rugged tablet in the cab is better for map work but is one more device to manage. The job card works on both; the choice depends on whether the supervisor mostly sits in the machine or works on foot.
Ecological observations included or separate
Some clients want to know whether the crew saw notable species or nests. That can go in a free field on the job card, but is then hard to collect. A fixed list of observation types makes it more useful but must not distract the supervisor from the actual work. Choose what the client genuinely uses.

At the start the job card shows the map with boundaries, with status logging per compartment with photo and reason, and hours per day. Together we walk through an ordinary mowing day, and a day on which the crew has to skip a compartment because of a nest that was not on the map. Hours per compartment, importing machine data and a completion report that drafts itself from the job cards can be switched on once the crews are used to it.

Explore pricing and optionsDoes the job card work without mobile coverage?
Yes. The card and map are loaded onto the device beforehand, so the supervisor can use them in an area without signal. Entries and photos are stored and sent as soon as there is a connection again. The device shows which data has not been sent yet.
Can a supervisor change the work boundary themselves?
They can draw a proposed change with a reason, for instance because a ditch runs differently from the map. The works planner or client confirms that change. The original boundary is kept, and you can see later who approved which change.
Can we keep before and after photos per compartment?
Yes, photos are linked to the compartment with location and time. A fixed photo point per compartment makes year on year comparison possible, which is useful for long-term management. Whether those photos are shared with the client is decided per job and per area.
How do we record work done by a subcontractor?
A subcontractor can get access to only the job cards they carry out, with the same map and per compartment logging. If that is not workable, your works planner fills in the record based on what the subcontractor reports. Either way it shows who did the work.
