Outdoor spaces and grounds: Customer portal for habitat management contractors
A customer portal for habitat management contractors where site managers and owners find map layers, completion reports and planned work per area, and can respond themselves.
What customers of habitat management contractors want to see.
A site manager working with a habitat management contractor wants to know when work is happening in their area, what has been done and how the land looks. Today they receive a report as a PDF by email, with photos that are hard to tie to a compartment. With multi-year management they dig through their inbox for earlier reports, and a remark about a compartment mown too short arrives by phone with someone who was not there. Habitat management contractors do have all that information, but it is scattered across folders, emails and the supervisor's memory.

From invitation to approval.
Set access per area
A client gets access to the areas linked to their jobs. At a large land manager, each ranger or site manager can see only their own areas, while a coordinator sees the whole picture. A private owner sees only their own estate. Who sees what is managed by you from one place.
Show maps and reports
Each area shows the map with compartments and the status of each: planned, done, skipped with a reason. Alongside sit completion reports and photos per year, so the site manager can follow a compartment across seasons. Planned work is listed with its window and the confirmed week.
Tie comments to a compartment
If the client has a remark, they post it on the compartment it concerns, with a photo if useful. The works planner sees the comment with the context of what was done and who the supervisor was. Any reply or follow-up stays attached to that same compartment.
Less email, the same records.
Clients of habitat management contractors often have their own management system holding the official map of their land. The portal does not replace it; it shows the map layers that belong to the job and returns completion data in a format the client can import. The client remains the owner of their map and management plan. You own the completion data, photos and reports, and decide what is shared.
Portal or report by email
For an owner with a single plot, a clear report by email is often enough. For land managers with many areas and several years of management, a portal becomes valuable because they can look up history and status per compartment themselves. You can do both: the portal as the source and the email as a notice that something new is there.
Show planning or only completed work
A client who sees the schedule can say early that a week does not suit. But a schedule that often shifts with the weather can also cause unrest. Showing only confirmed weeks and the window around them keeps the information useful without every change prompting questions.
Free comments or structured ones
A free text box is easy to use but produces responses that are hard to process. Structured responses, such as not done, damage or an extra request, are easier to follow up and show which kinds of remark keep coming back. A choice plus an explanation usually works best in practice.

Per client we set up the areas in the client portal with map and status per compartment, completion reports and the option to comment on a compartment. We test it together with an ordinary client with a few areas, and with a land manager who wants each site manager to see only their own part. History across several years and an export to the client's management system can be switched on later.

Explore pricing and optionsCan a client share the portal with an ecologist?
Yes, the client can add an extra user with read-only access to certain areas, or you do it at their request. An ecological adviser can then view reports and photos without access to quotes or invoices. Access can always be withdrawn again.
Do clients see our internal notes as well?
No. Notes from the works planner and supervisor are internal by default. Only what you mark as shared, such as a skipped compartment with its reason or an observation, appears in the portal. The crew can note freely what they come across without every detail landing with the client.
Can we show the client's own map layers in the portal?
Yes, if the client supplies them in a common map format. We show them as a background beneath the job's compartments. When the client updates their map, they supply a new version, and it remains visible which version applied to earlier work.
Is the portal useful for small private owners too?
Yes, but then it must stay simple: one area, a few photos and this year's report. For that group it is mostly handy for looking back at what was done last year. If an owner would rather receive everything by email, that works as well.
