Outdoor spaces and grounds: Quotation software for habitat management contractors
Quotation software for habitat management contractors that calculates hectares, machinery, removal and transport per management compartment, so a client sees which assumptions sit behind the price.
Where quotes for habitat management contractors get stuck.
A quote for habitat management looks simple: so many hectares at a rate. In reality the price depends on which machine can work that ground, the travel distance to the plot, whether cuttings must be removed and where to, how much handwork is needed around trees and banks and whether the job must be phased. Habitat management contractors often work this out in a spreadsheet that every works planner has built differently. Once the quote is accepted, nobody remembers which assumptions it held, and during the job it turns out the tip was further away or a compartment wetter than expected.

Record compartments and assumptions
Every quote starts from the compartments in the enquiry. For each one, the works planner records the measure, area, expected ground conditions and access. Assumptions with a big effect on price, such as removal to a composting site or working with a lighter vehicle, are noted separately and later shown in the proposal.
Calculate effort per compartment
Using fixed norms per measure and machine, the software works out hours, transport movements and removal per compartment. The works planner can deviate per compartment, for example for extra handwork along a bank, and then fills in a reason. That keeps visible where the quote departs from the standard and why that choice was made.
Get the proposal approved
The proposal shows each compartment with its measure, price and assumptions in plain language. The client approves the whole job or only certain compartments. Whatever is approved moves to execution with the same assumptions, so the crew knows what was priced and any deviation in the field is immediately recognisable.
Alongside your calculations and price lists.
Habitat management contractors usually work with a spreadsheet of their own norms, an accounting package and sometimes hour logging per machine. We take the norms from that spreadsheet as the starting point, so the calculation stays familiar to the people who use it now. Rates and norms belong to you and are managed by one named person. Clients with their own bill of quantities or tender format receive prices in their layout, while the underlying calculation stays in your system.
Price per hectare or per compartment
A fixed price per hectare is easy for the client to follow but covers the difference between a flat hay meadow and a boggy bank with trees poorly. A price per compartment fits reality better but needs more explanation. Many contractors choose a hectare rate with a surcharge per compartment that is backed by a stated reason.
Removal included or separate
Removing cuttings and stripped turf can be a large part of the cost and depends on distance and the receiving site. Include it in the compartment price and the quote stays simple, but you carry the risk. Price it separately on an estimated volume and it is fairer, but needs settling afterwards.
Multi-year management or a single job
A management contract running several years calls for a different quote than a one-off job. With multi-year work the client wants to know how prices develop and which measures recur each year. The software can build a quote per year from the same compartments, so each year it is clear what was done against what was agreed.

For the most common measures, such as mowing with removal and coppicing hedgerows, we put your existing norms into the quote. Together we price an ordinary mowing job, and one in which a single compartment can only be reached by hand. Multi-year quotes, prices in the format of regular clients and norms you adjust based on actual hours can be switched on once the first quotes have gone out.

Explore pricing and optionsCan we quote against a bill of quantities we receive?
Yes. Items in the bill are linked to your own measures and norms. The client receives prices in their own layout, while you see per item how it was built up. If an item departs from what you consider realistic, you record that as an assumption or a reservation.
How do we handle uncertainty about how wet a site is?
By including an assumption the client can see, for instance that the work is carried out at normal bearing capacity. If the site proves too wet on the day, it is clear this falls outside the assumption, and you can decide together on postponement, different equipment or an additional charge.
Can a client award only some of the compartments?
Yes. The proposal is built per compartment, so the client can tick compartments on or off. The total and any transport costs are then recalculated, because bringing a machine in for fewer compartments is relatively more expensive. That effect is visible rather than hidden.
Can we see afterwards whether our norms were right?
If hours and machine use are logged per compartment during the work, you can set them next to the calculation. You then see per measure and terrain type where a norm is consistently too tight or too generous. Changing a norm remains a deliberate decision by whoever manages the rates.
