Outdoor spaces and grounds: Digital job cards for green roof installers
Digital job cards for green roof installers on which the roof crew records the layout, installed layers and deviations per roof area, with photos of each layer before it is covered.
What a job card for green roof installers should hold.
A green roof consists of layers that are no longer visible once installed. When a client later asks whether a root barrier was laid or how the outlets were finished, the crew has to remember. At green roof installers, a paper job sheet rarely goes beyond date, address and square metres. Deviations from the layout, such as an extra gravel strip around an unexpected upstand or a roof area where the substrate had to be deeper, are recorded nowhere. In case of a leak or a warranty claim, there is then no way to show what was installed and where.

Prepare the layout per roof area
For each roof area, the layout is ready with the system build-up, the position of gravel strips, outlets and upstands, and the quantity of materials. The crew also sees particulars, such as a fragile roof edge or a spot where pallets must not be stacked because of the load capacity.
Record layers as the work proceeds
After each layer, the crew records what is there with a photo: protection mat, drainage, filter fleece, substrate and vegetation. Deviations from the layout are noted with a short reason. Later, it is possible to see per roof area which build-up really sits under the sedum.
Complete and hand over
At the end of the project, the foreman checks that all roof areas are complete and that photos exist for each layer. The card goes to the project manager for approval. The build-up then becomes part of the roof file, used for later maintenance and any warranty questions.
No more paper and loose photos.
The card works on the phone or tablet the foreman already uses. The layout comes from the quote and job preparation, material use goes to stock and approved cards go to invoicing. If a system supplier requires its own completion form for the warranty, the details can be prepared for it. The foreman owns the record, the project manager owns approval and the roof file.
Photo per layer or only at completion
A photo per layer per roof area proves the build-up, but takes time and discipline on a windy roof. A single photo at completion is faster, but does not show the layers beneath. For warranty or leaks, the build-up is exactly what you want to demonstrate, which argues for photos per layer.
Follow the layout strictly or allow changes
A layout is based on a drawing or roof visit, but on the roof an outlet sometimes turns out to be elsewhere. Following it strictly is then impossible. The crew must be able to deviate, as long as the deviation is recorded and the project manager reviews it afterwards so the roof file stays accurate.
Foreman or every roofer records
When every roofer records their own work, information arrives directly but can get messy. A foreman who records keeps the overview, but may miss detail on a large roof with several areas. In small crews, recording by the foreman makes more sense, with a second person adding photos on bigger jobs.

At the start the crew has the layout per roof area ready, with recording of layers, photos and deviations and a completion that lands in the roof file. Together we walk through an ordinary single-area sedum roof, and a roof where an outlet turns out to be in a different place from the drawing during the work. A completion form for the system supplier and sharing the roof file with the client can be added later.

Explore pricing and optionsCan we see per roof area which build-up was installed?
Yes. The roof file shows per roof area the installed layers, the photos and any deviations from the layout. For a question about a leak or a maintenance visit, you can see straight away what sits beneath the vegetation without opening up the roof.
Does the card work on a roof with poor signal?
Yes, the card is stored on the device and sent as soon as there is a connection. On city-centre roofs coverage is usually good, but on large industrial buildings it can vary. The crew just keeps working.
What do we do with leftover material?
The remainder is recorded on the card and goes back to stock or stays with the client as a spare, depending on the agreement. Leftover rolls of sedum mat cannot wait long, so the card asks straight away what happens to them.
Can we record existing damage to the roof covering?
Yes, separately from your own work. Damage that was there before you started is recorded with a photo and location and reported to the project manager. They agree with the client or roofer how to proceed before work continues on that roof area.
