Outdoor spaces and grounds: Scheduling software for green roof installers
Scheduling software for green roof installers that lines up the roof crew, material delivery and lifting slot, so pallets of sedum are not left on the pavement while the crane only arrives tomorrow.
What makes scheduling hard for green roof installers.
For green roof installers, a working day depends on three parties being ready at the same moment: the supplier with sedum mats and substrate, the crane or hoist, and the roof crew. Sedum mats are living material and cannot sit rolled up on a pallet for days. A crane on a busy street sometimes has to be applied for in advance. If a day is lost to storm or heavy rain, everything shifts. Planners keep track in a diary, with calls to suppliers and crane firms. Often it only becomes clear on the morning itself that the roofer has not finished the waterproofing.

Define what each roof needs
Each project shows how many crew days the roof needs, which lifting equipment is required and which materials must be delivered when. It also lists the conditions that must be met first, such as the roofer finishing the waterproofing or a permit for the crane. Without those, the project stays provisional.
Align crew, crane and delivery
The planner sees per day which roof crew is available, which crane is booked and when the supplier can deliver. A suggestion puts delivery and lifting on the same morning, with the crew there to lay straight away. If one of the three moves, the schedule shows which other bookings must move with it.
Handle weather and changes
In strong wind or heavy rain, nobody can work safely on the roof. The foreman reports this early, and the planner immediately sees which deliveries and lifting slots need to move. Suppliers and the crane firm are notified, and the client hears the new date as soon as it is fixed.
Alongside your calendar and your team.
Planners currently use a diary or planning board, plus email and phone with suppliers, crane firms and roofers. The schedule takes projects from accepted quotes and crews from your existing staff list. Deliveries are still ordered from the supplier as now, but the agreed date sits in the schedule. The project manager owns the conditions per project, the planner owns the sequence. The supplier remains the owner of its own delivery schedule.
Same-day delivery or the day before
Delivering on the day of lifting keeps the pavement clear and the material fresh, but makes the day fragile if the lorry is late. Delivering a day earlier gives certainty, but needs storage space and can affect sedum mat quality. The choice may differ per project and per street.
Own hoist or hired crane
Your own hoist gives freedom in scheduling, but does not suit every roof. Hiring a crane firm gives access to larger cranes, but makes you dependent on their availability. Many green roof installers combine their own ladder hoist for small roofs with hired cranes for the rest, and plan accordingly per project.
Crews per project or per day
A fixed crew per project knows the roof and the client. Assigning crews per day makes the schedule more flexible, but means handovers between crews. On large roofs with several areas, a fixed core with changing support is often the most practical, especially when the work runs over several days.

Scheduling starts with roofs and their conditions, aligning crew, lifting equipment and delivery, and rescheduling for weather. Together we replay an ordinary week with three roofs, and a week in which strong wind stops two days of work and a crane has to be rebooked. Notifications to suppliers and clients when dates move, and suppliers' delivery confirmations shown with each roof, can be switched on once the schedule is firmly in use.

Explore pricing and optionsCan we see which projects are still waiting for the roofer?
Yes. A project with an open condition, such as unfinished waterproofing, stays provisional and appears in its own list. The planner sees which condition is missing and who must meet it, so a crane is not booked by mistake for a roof that is not ready.
How do we account for the shelf life of sedum mats?
By scheduling delivery as close to laying as possible and showing a warning when the gap is too long. The schedule can apply a maximum waiting time per material type that you set yourselves, based on what the supplier advises.
Does this work for maintenance visits as well?
Yes. Maintenance visits are smaller bookings without a crane or large delivery, but with a fixed time of year. They sit in the same schedule, so a crew can combine maintenance on a quiet day with an installation nearby.
Can clients see the planned date themselves?
If you use a customer portal, yes. The client sees the planned date and whether it still depends on a condition or the weather. If the date changes, they see the new one as soon as the planner confirms it.
