Outdoor spaces and grounds: Customer portal for green roof installers
A customer portal for green roof installers where owners, residents' associations and property managers can view their roof plans, maintenance agreements and the roof file with the installed build-up.
What customers of green roof installers want to see.
A green roof stays in place for years, but information about it disappears quickly. A residents' association changes its board and nobody remembers which system was installed or when maintenance was agreed. A property manager with dozens of buildings has to look up per roof what has happened. Green roof installers receive these questions by email and answer with a completion report from a folder or a forwarded photo. After a maintenance visit with advice to repair a bare patch, approval often stalls because the report vanished into someone's inbox. A small repair then becomes a bigger problem.

From invitation to approval.
Set access per roof and role
Each client gets access to their own roofs. A property manager sees all their buildings, a residents' association only its own. For each person, you record whether they can only view or may also approve repairs or extra work, so decisions reach the right person.
Show the roof file and reports
The portal shows per roof the roof plan with its areas, the build-up with photos per layer, and reports from maintenance visits. An owner sees when the next visit is planned and what was done at the last one. A new board does not have to hunt through the previous one's papers.
Let clients review repair proposals
When a maintenance visit finds a repair area, a proposal appears with a photo, its location on the roof plan and an explanation. The authorised person approves or asks a question. That is recorded with name and date, and the planner sees it immediately.
Less email, the same records.
The portal reads from the job cards, maintenance contracts and schedule you already use. No separate file has to be compiled; the portal shows what the project manager has approved. Approvals for repairs go to scheduling and any costs to invoicing. You decide what is visible; the client manages their own contacts and can transfer access when the board changes.
Full file or summary
A full file with every photo per layer is valuable for a technical property manager, but overwhelming for a volunteer board member. A summary per roof with the option to drill into the details works for both. What matters is that the summary never hides the repair areas.
Maintenance by contract or on request
With a maintenance contract, the visits are fixed and the client sees them in the portal. With maintenance on request, the client has to say when they want a visit. The portal can then remind them at the usual moment, for example in spring and autumn.
Approval in the portal or via the manager
For a residents' association, a decision on repairs sometimes has to go through a general meeting. Approval in the portal is then only possible if the board has that authority. The portal can hold the proposal with a status, so it does not get lost while the board consults. The board also sees what is still open.

In the client portal, clients see per roof the roof file with build-up and photos, reports from maintenance visits and an approval for repairs. We try it out together with a homeowner wanting to look back at the completion photos, and with a residents' association whose board has just changed and whose new chair finds a repair proposal from last year. Reminders for maintenance on request and an overview for property managers with many buildings can be switched on later.

Explore pricing and optionsCan a new owner of a building get access?
Yes. When a building is sold, the previous owner or the manager can transfer access, or you grant the new owner access once that is confirmed. The roof file stays with the roof, so the new owner knows what is on it.
Do clients see the crew's internal notes?
No, only what the project manager has released. Internal remarks about, for example, working with a roofer stay internal. Photos of the build-up and maintenance reports are visible, because they matter to the owner. Internal notes are never shown by default.
Can we put warranty conditions in the portal?
Yes, as a document attached to the roof. The system supplier's conditions and your own agreements can be added. The owner then knows what is and is not covered, and which maintenance is needed to avoid putting the warranty at risk.
How does the portal handle roofs with several owners?
On a shared roof, several parties can have access, each with their own rights. Approval for a repair can then require both parties to agree. You set that per roof, so the planner knows when the work can be booked.
