Events and rental: Quotation software for food truck operators
Quotation software for food truck operators that puts portions, serving time, travel and setup into one proposal, with assumptions about guest count and power and approval on a fixed version.
Where quotes for food truck operators get stuck.
A quote for a food truck at a private party looks like guests times portion price, but there is much more around it. Travel to a venue far outside your area, a generator because there is no power, an extra crew member for the rush after the ceremony and a minimum spend for small groups all count. Estimating that by feel means charging too much at one event and too little at the next. Then the guest count changes twice, the client wants a dessert added and nobody remembers which amount belonged to which arrangement.

Set the starting points
Each quote opens with the assumptions: number of guests, whether everyone eats, the chosen menu, portion type, serving times, venue power or a generator and the distance. It also states until when the guest count can still change. The client sees at once whether you understood the event.
Calculate on portions and time
The calculation uses your prices per portion or per guest, with a minimum for small groups, and rates for travel, time on site, extra crew and a generator. Extras such as a dessert or drinks are separate lines. You can see exactly where the total comes from and explain it to the client.
Versions and approval
When the guest count or menu changes, you create a new version with a short summary of what moved. The client approves one version. Changes after the agreed date for the final count are recorded as additions, so purchasing and scheduling can work from a fixed number.
Alongside your calculations and price lists.
Many food truck operators price in a simple spreadsheet or quote a per-guest rate from memory. Those prices form the basis of the quotation software: you set rates per portion, hour and mile and stay in charge of them. The menu and recipes are yours. Approvals and deposits are recorded per version, so scheduling and purchasing can follow. Invoicing can later come from the same quote, or stay in your accounting package.
Price per guest or per portion
A price per guest is clear for the client and suits private parties where everyone eats. A price per portion served suits events where not everyone eats or people come back several times. Some trucks combine both: a fixed amount per guest up to a set number of portions, then per portion beyond that.
Minimum spend or none
With small groups the takings do not cover travel and setup. A minimum spend prevents that but can put clients off. An alternative is a fixed call-out fee with a lower price per guest. The choice depends on how often you get small bookings and how far you are willing to drive for them.
Unlimited serving or set portions
Unlimited serving within a time block is popular at weddings but makes purchasing hard. Set portions per guest are more predictable. With unlimited serving, the quote must state how long the block lasts and what happens if food runs out early, so the client knows exactly what they are getting.

In the quoting software we set up your rates per portion, guest, hour and mile, with recorded assumptions, versions with change summaries and approval on one version with a date for the final guest count. Together we take an ordinary company lunch through it, and a wedding where the guest count rises after approval and a generator is needed. Deposit requests and a shopping list from the final count can be switched on whenever you like.

Explore pricing and optionsCan the quote add a generator automatically when there is no power?
Yes. If the enquiry says there is no suitable connection, the software can suggest a generator line. You confirm it, because sometimes you can still sort something out with the venue. The client sees the line separately, with the reason.
How do we include travel for distant events?
Travel time is calculated from your base to the venue and back at the rate you set. You can define an area within which no travel is charged. Outside it, travel appears as a separate line in the quote so the client sees what it adds.
What if the guest count changes after approval?
Until the agreed date you create a new version with the new number. After that, the change is recorded as an addition. You know what to buy for, and the client sees how the total changed and why.
Can we reuse quotes for returning business clients?
Yes. You copy an earlier quote and change the date, guest count and perhaps the menu. The calculation reruns at your current rates. A monthly company lunch does not have to be built from scratch every time it comes round.
