Events and rental: Enquiry form for food truck operators
An enquiry form for food truck operators that captures guest count, power connection, serving times and where the truck will stand, so you can judge whether an event fits.
What makes an enquiry complete for food truck operators.
A food truck can only make a sound proposal once it is clear how many guests are coming, how long serving lasts and whether the truck can reach the spot. Enquiries, however, arrive with just a date and a question about availability. Only after a few messages does it turn out the party is in a field without power, the access road is too narrow for the truck and half the guests eat vegetarian. Or that it is not a hundred but two hundred people, all wanting to eat in the same half hour. Meanwhile the client has also contacted other trucks.

From form to assessed enquiry.
Ask about the event and guests
The form starts with date, address, type of event and the expected number of guests, asking whether everyone eats or only some. It also asks broadly about dietary needs such as vegetarian, vegan or allergies. You see straight away whether the menu and the quantities make sense.
Check power and pitch
Next the form asks whether there is a power connection, which type if the client knows, and how far it is from where the truck will stand. Ground, access road and whether there is water are covered too. The client can upload a photo of the spot. Anything missing is marked as an open point.
Serving times and handover
Finally the client gives the start time for food, how long serving lasts and whether there are peaks, such as right after a ceremony. You see the enquiry with every detail together and a list of open points. Only once power, pitch and guest count are clear do you write a proposal.
Enquiries in one place, not the inbox.
Enquiries now come in by email, phone, social media and sometimes through an event booking platform. The form gives them one destination and can be sent as a link in any conversation. Venue details such as power and access belong to the client or venue manager; you record what you were told. Your calendar remains where bookings live. When an enquiry arrives through a platform, you copy its details into the same overview.
One form or one per event type
One form for everything is simple, but a festival organiser has different questions from a wedding couple. Separate forms per event type ask the right things but take more upkeep. A middle route is one form that shows different questions once the event type is chosen, so everyone only sees what applies to them.
Bring a generator or rely on the venue
Your own generator makes you independent of the venue but is noisy, burns fuel and is not allowed everywhere. Venue power is quieter but must have the right connection. The form should make clear what you need, so the client knows what to arrange or why a generator costs extra.
Accept an estimate or require a number
At enquiry stage many clients do not know the exact guest count. Accepting an estimate keeps the threshold low, but you need a final number later to buy stock. You can ask for the estimate now and put a date in the proposal by which the final count must be confirmed.

Read the storyWhich questions the form asks.
At the start the form is ready with event, guest count and dietary needs, power and pitch with a photo, serving times and an overview of open points. We replay two enquiries together: an ordinary company lunch at a site with power, and a wedding in a field with no connection and a narrow access road. Separate questions per event type and enquiries from booking platforms on the same list can be switched on once the core form has replaced the back and forth by message.

Explore pricing and optionsWhat if the client does not know which power connection there is?
It is listed as an open point. You can ask the client to photograph the connection or check with the venue. If nobody knows, you can assume a generator in the proposal and adjust later if suitable power turns out to be available.
Can we ask for dietary needs per guest?
At enquiry stage you ask broadly how many guests are vegetarian, vegan or have an allergy. Exact needs per guest are only required close to the event. You can collect those later through the customer portal or a separate request, keeping the enquiry itself short.
How do we handle festival applications?
Festivals often have their own application process with conditions for the pitch and the share they take. You can put the details of such an application in the same overview as private enquiries, so you see which dates are taken and which applications are still awaiting a reply.
Can the form show whether we are free on that date?
It can show an availability calendar with only free or booked. On busy summer weekends it is wise to review the enquiry first, because travel, the number of trucks and the available crew decide whether another event still fits.
