Events and rental: Invoicing software for food truck operators

Invoicing software for food truck operators that turns served portions, time on site, overruns and extras into an invoice that matches the quote and job card.

Where invoices stall for food truck operators.

After an event a food truck operator has to draw up the invoice, and that is often less simple than guests times price. More people came than agreed, the truck stayed an extra hour at the client's request and a generator had to come along because the venue's power was too weak. At a festival there is no invoice to a client, but the organiser's share has to be reconciled against your own takings. Business clients need a purchase order number on the invoice. When those details sit in messages, till receipts and the crew leader's memory, something gets forgotten or charged twice.

    Collect the delivered work

    Done

For each event everything is already in the software: the approved quote version, the final guest count, portions served from the till export or the crew's tally, actual time on site, overruns and extras such as a generator.

  2. 2

    Review the differences

    In progress

The software shows where the event departed from the quote: more guests or portions than agreed, an overrun, a generator not in the quote.

  3. 3

After your sign-off the invoice goes to the client with a payment link, the right lines, the deposit offset and the purchase order number for business clients.

From finished work to paid invoice.

Collect the delivered work

For each event everything is already in the software: the approved quote version, the final guest count, portions served from the till export or the crew's tally, actual time on site, overruns and extras such as a generator. Deposits are offset. Each line shows its source.

Review the differences

The software shows where the event departed from the quote: more guests or portions than agreed, an overrun, a generator not in the quote. You decide per difference whether to invoice, adjust or drop it, for example as a goodwill gesture. The choice and reason are stored.

Send the invoice

After your sign-off the invoice goes to the client with a payment link, the right lines, the deposit offset and the purchase order number for business clients. Reminders go out automatically and you see per event whether it has been paid. For festivals a summary of takings and the organiser's share is ready.

Invoicing from the same software.

Invoices are now often put together on Monday after a busy weekend, from messages, till receipts and the crew leader's memory. In the invoicing software the billing basis comes from the quote, the job card and the imported till totals. You manage rates for overruns, travel and extras. Your bookkeeper can look along or receive an export for tax and year end. Festival till takings stay in your till; only the totals come along.

Invoice on guests or on portions

With a fixed price per guest you invoice on the final guest count, regardless of how much was actually eaten. With a price per portion you invoice on the count. The first is predictable for the client, the second fairer when people eat more or less. The software follows whichever model the quote used.

Charge overruns or be generous

Staying fifteen minutes longer because the speeches ran over is something many trucks do not charge for. An extra hour of serving on request is. If the quote states from when an overrun counts and at what rate, there is no argument afterwards. The software shows the overrun; you decide whether it goes on the invoice.

Festival share per event or per season

Some festivals settle their share right after the event, others at the end of the season. Settling per event gives quick insight into what a festival earned. Per season means tracking takings per festival carefully, so the final settlement matches your own till records. The software keeps both views available.

What we set up for your invoicing.

Per event the invoice brings together the approved quote, guest count or portion tally, time on site, overruns and deposits from the start, with differences set apart and your payment link and reminders in place. Together we walk through an ordinary company lunch with no deviations, and a wedding where more guests came, the truck stayed longer and a generator was needed. The festival overview of takings and share is switched on once private events run smoothly.

Does an invoice go out without me seeing it?

No. The software prepares the invoice, and you or your bookkeeper look it over and send it with a payment link. After a chaotic weekend the numbers deserve that second look. After that reminders go out automatically and you see per event what is still outstanding.

Can we use till data for the invoice?

Yes, if your till can export portions per dish or per event. You import that export and the software sets the totals beside the quote. At private parties without a till, you use the crew's tally from the job card.

How do we handle festivals where the organiser settles?

At festivals where visitors pay with tokens or the organiser's own payment system, the organiser settles with you. The software places your own portion count next to the organiser's settlement, so you spot differences before agreeing to it.

What if the client does not recognise the overrun?

Extra time is billed only when the crew logged it on the job card with a start and end time and, ideally, a nod from the client or the on-site contact. If that confirmation is absent, the review step flags it and you can ring the client before anything is charged.
