Construction and installation: Quotation software for floor coating contractors
Quotation software for floor coating contractors that calculates preparation, coating build-up and material use per room from the substrate and chosen system, with assumptions visible to the customer.
Where quotes for floor coating contractors get stuck.
A quote from a floor coating contractor stands or falls on what happens beneath the coating. Shot blasting or grinding, injecting cracks, breaking out hollow spots, a levelling layer, and only then primer, intermediate coat and topcoat. How much of that is needed depends on the survey. Estimators work with a spreadsheet per system and often show only a price per square metre in the quote. If the substrate turns out worse than expected, nobody can trace which assumption was too optimistic. And the customer cannot see why the neighbour got a cheaper quote for the same colour. A quote has to show build-up and preparation as separate, justified parts.

NextThe customer receives a proposal showing, per room, the preparation, coats, finish and the expected cure time before the floor can be loaded.
From enquiry to signed quote.
Starting points from the survey
For each room the consultant records area, substrate, moisture reading and the condition of the floor: cracks, stains, level differences and junctions at drains or doors. The intended load and desired finish go in too. Uncertain points are marked as assumptions and appear later as conditions in the quote.
Calculating preparation and coats
Based on those starting points the software proposes the preparation and build-up that belong to the chosen system. Material use follows from area and film thickness, labour from area and complexity. Skirtings, drain edges and movement joints are calculated in linear metres, so they do not vanish into the square metre rate.
Proposal with build-up and caveats
The customer receives a proposal showing, per room, the preparation, coats, finish and the expected cure time before the floor can be loaded. Options, such as standard against anti-slip, sit side by side. Acceptance fixes the chosen build-up as the basis for job preparation.
Alongside your calculations and price lists.
Floor coating contractors calculate with manufacturer price lists, their own consumption rates per coat and often a spreadsheet for each coating system. The quotation software takes those rates over as adjustable values that you manage. Manufacturers remain owners of their product data and application instructions. An accepted quote goes to the accounting package as an order, and the build-up later serves as the basis for the job card and material order.
Rate per metre or itemised price
A price per square metre is easy to compare but hides the preparation. An itemised price with separate lines for blasting, repair, primer and topcoats shows where the money goes. Homeowners may prefer a summary price with an expandable breakdown; commercial clients often expect the full build-up from the start.
Budgeting repairs or charging actuals
Cracks and hollow spots are not always fully visible during the survey. A generous repair allowance gives the customer certainty but makes the quote more expensive. Charging measured linear metres of crack afterwards is fairer but uncertain for the customer. A fixed allowance with a cap and a unit rate above it is a common middle route.
Recommend one system or offer options
A floor coating contractor recommending one system shows it has made a choice based on substrate and use. Offering options gives the customer control, but may lead to a technically less suitable choice. Two options with a clear explanation of wear and maintenance often work well and keep the decision grounded.

What we prepare in the quotes.
Per room the quote calculates preparation, layer build-up, material and labour based on the survey, with options and reservations for the customer. The build-up per coating system is ready at the start. Together we work through an ordinary garage floor, and a business floor where part is oil-contaminated and has to be cleaned and milled first. Reusing build-ups from earlier quotes and ordering material straight from the accepted quote can be switched on later.

Explore pricing and optionsCan we set consumption rates per coating system ourselves?
Yes. For each system and each coat you set the consumption, for instance per square metre at a given film thickness, plus an allowance for waste. If the manufacturer changes its instructions or you find real consumption is higher, you adjust the rate for new quotes.
How do we include cure time in the quote?
Each system shows the time until foot traffic and until full load. The quote shows those times to the customer, so he knows when he can use the space again. For businesses that helps plan downtime. Temperature and humidity can affect those times, which is stated as a caveat.
What if the moisture reading is worse after the quote?
The quote records the moisture value it was based on. If a later reading is higher, the consultant proposes an adjusted build-up, such as a moisture-tolerant primer, or a later start date. The customer receives a new version that states the difference and the reason clearly.
Can we price skirtings and drain edges separately?
Yes. Skirtings, upstands, drain edges and movement joints are calculated in linear metres with their own rate. They appear as separate lines, so the customer sees why a small room with lots of edges costs relatively more than a large open floor.
What often connects to this.
- Enquiry form for floor coating contractorsAn enquiry form for floor coating contractors that asks about substrate, use, area and any moisture reading, so a consultant can judge which preparation and coating build-up are needed.
- Digital job cards for floor coating contractorsDigital job cards for floor coating contractors that record substrate checks, readings and applied coats for each work zone, with batch numbers and photos as evidence.
- Invoicing software for floor coating contractorsInvoicing software for floor coating companies that sets finished square metres, running metres of skirting and extra repairs per work section against the quote and turns them into a verifiable invoice with a payment link.
