Construction and installation: Operations dashboard for floor coating contractors
An operations dashboard for floor coating contractors that sets material use, repairs and redone coats per work zone against the quote, and shows which substrate or condition lies behind them.
Which figures floor coating contractors really need.
Floor coating contractors know some jobs take more material and time than calculated, but not always why. Was the substrate more absorbent than expected, was it applied thicker, or did a coat have to be redone after a cold night? Consumption and repairs are on job cards, material on stock records, hours in a timesheet, but nobody puts them side by side. Consumption rates in quotes stay too optimistic or too generous, and substrates that often cause trouble stay out of sight. A director only sees that margin disappoints on some projects. A dashboard has to show per zone where consumption and repair deviate and which source explains it.

Naming rates and deviations
DoneTogether we define what counts as a deviation: more consumption than the rate per coat, repair above the allowance, a coat that had to be redone.

Linking job card, stock and quote
In progressFor each zone the dashboard takes the planned build-up from the quote, actual consumption from stock bookings, and repairs, readings and causes from the job card.

From scattered figures to one overview.
Naming rates and deviations
Together we define what counts as a deviation: more consumption than the rate per coat, repair above the allowance, a coat that had to be redone. For each deviation we name possible causes, such as absorbent substrate, moisture, temperature, incorrect mixing or damage by others.
Linking job card, stock and quote
For each zone the dashboard takes the planned build-up from the quote, actual consumption from stock bookings, and repairs, readings and causes from the job card. If a deviation has no cause, that stands out so it can still be filled in at the source.
Drilling down to the cause
By substrate, system or crew you can see where consumption and repair deviate structurally. Drilling down shows the zones, readings and photos behind them. The estimator can adjust rates, and the director can discuss with crews where preparation or conditions make the difference.
Figures from your own work.
Floor coating contractors often already have the data, just scattered: quotes in the quoting package, consumption in stock records, hours in a timesheet app and readings on job cards. The dashboard reads those sources without replacing them. Each system remains owner of its data. Where something is missing or wrong, the dashboard points to the source, so it is corrected there rather than in a separate list.
Steering on margin or consumption
Margin per project shows something is wrong, but not where. Consumption and repair per zone show the cause, but need good records. Starting with consumption and repair, then adding margin, gives insight first into where money goes and then into the total. The other way round tends to leave only a vague feeling.
By crew or by substrate
Showing deviations per crew can help with training but can land badly if the cause was the substrate. Looking by substrate and system shows where the quote falls short structurally. Both are possible, as long as the conversation with crews stays open and the aim is improvement.
Live jobs or looking back
A view of live jobs helps the project lead step in when a zone needs more material than planned. A quarterly review helps the estimator adjust rates. Each has its own rhythm; one screen with live jobs at the top and trends below serves both roles, and everyone looks at the same figures.

Which figures we put on the dashboard.
The dashboard shows per section deviations in consumption, repairs and redone layers, with the cause and references to quote, stock and job card. We draw up those causes together. We read it against an ordinary month and a period with many cold nights in which layers had to wait or be redone. Comparing consumption norms per system and tracking complaints after handover are switched on once enough has been recorded.

Explore pricing and optionsDo we record enough to get started?
If crews already note consumption and repairs on job cards, there is a basis. If not, it starts with recording. The dashboard makes gaps visible, which in itself helps improve records and makes rates fairer.
Can we adjust consumption rates based on the dashboard?
Yes, that is one of its main uses. If the estimator sees that a primer consistently uses more on a certain substrate, the rate in the quoting software can be adjusted. The dashboard then shows whether the new rate fits better.
Does the dashboard show complaints after handover?
If complaints are recorded and linked to the project, yes. You can then see whether zones with deviations during the work lead to more complaints. That helps decide which deviations matter and which have no consequences.
Who can see which data?
You set that per role. A director sees everything, a project lead their projects, a foreman their own zones. Data per crew can be restricted if that better suits how you want to have the conversation.
What often connects to this.
- Digital job cards for floor coating contractorsDigital job cards for floor coating contractors that record substrate checks, readings and applied coats for each work zone, with batch numbers and photos as evidence.
- Website for floor coating contractorsA website for floor coating contractors that explains coating systems and finishes in terms of how the floor will be used, so visitors understand why substrate and moisture come first.
- Enquiry form for floor coating contractorsAn enquiry form for floor coating contractors that asks about substrate, use, area and any moisture reading, so a consultant can judge which preparation and coating build-up are needed.
