Construction and installation: Inventory software for floor coating contractors
Inventory software for floor coating contractors that tracks primers, resins, hardeners and broadcast materials by batch and shelf life, and reserves them for upcoming jobs.
Where stock drifts for floor coating contractors.
The store of a floor coating contractor holds buckets of primer, resins and hardeners from different batches, plus bags of quartz sand and boxes of colour flakes. Components belong together and have a use-by date. A crew grabs whatever is at the front, mixes an old batch with a new one, or finds on site that the hardener is just short. Colours from different batches can vary slightly, which shows on a large floor. Whatever is left after a job comes back half full and then drops out of sight. Inventory has to show, per batch, what is there, what is already earmarked and what is still usable.

Recording batches and shelf life
On receipt every product is booked in with batch number, use-by date and colour. Components that are mixed together are linked. Opened containers get their own status with an estimated remainder, so they stay visible for small repairs or test patches. Storage location can be added.
Reserving against the build-up
The accepted quote gives the quantity needed per coat for each job. The software prefers to reserve a single batch for the whole floor to avoid colour differences. If one batch is too small, the system flags it and suggests an order before the crew is caught short.
Booking out per zone
After each coat the crew books out what was used from the job card. Leftovers that come back are returned with their batch. Products that have expired or become unusable, for example through frost, are booked separately so they are no longer taken out.
Alongside your purchasing and suppliers.
Floor coating contractors usually track stock in a spreadsheet or by looking in the store, with orders to the wholesaler or manufacturer by email or webshop. The inventory software uses the product list from the quoting tool and adds batch, shelf life and location. The manufacturer remains owner of product information and safety data sheets. A scanner or phone is enough to record labels at receipt and issue.
Stocking or ordering per job
Keeping common primers and neutral topcoats in stock makes quick jobs possible. Ordering special colours and large quantities per job avoids expired stock. Combining both works, as long as it is visible what is on the shelf and when it expires. The software shows which products run out often and which sit for a long time.
One batch per floor or mixing
One batch per floor avoids visible colour variation but sometimes means ordering a larger quantity. Mixing batches is fine for base coats and primers, less so for visible topcoats. The reservation can indicate per coat whether a single batch is required, so the crew is not left with half a batch.
Keeping or disposing of leftovers
Opened buckets can be useful for repairs and test patches. But they take up space, expire and are sometimes ruined by frost or moisture. Recording leftovers with remainder and expiry date lets you use them deliberately or dispose of them in time under the rules for chemical waste.

Which stock we record.
Products are booked in per batch with shelf life, linked to the right components, reserved per job based on the layer build-up and booked out per section. We set up that structure at the start. As a trial we take an ordinary week with a delivery and three jobs, and a large floor for which one batch of top coat falls just short. Order suggestions and a flag for products that expire soon are switched on using the same records.

Explore pricing and optionsHow do we stop crews taking an expired batch?
At issue the software shows shelf life and warns about products that have expired or soon will. Batches reserved for a job appear at the top, so the crew takes what was intended. If something else is taken anyway, it shows up when booking out from the job card.
Can we track colour flakes and quartz sand too?
Yes. Broadcast materials and flakes are tracked per bag or box. They count in the reservation when a job has anti-slip or a decorative finish. It is visible whether there is enough of the right grain size or colour.
What do we do with material ruined by frost?
It is booked out with a reason and set aside for disposal. It no longer counts as stock. If it happens more often, the overview shows where and when, which can inform decisions about winter storage.
Is a full stocktake needed to start?
An initial count by batch is needed to start reliably. It can be done per product group, beginning with what is used most. Leftovers can be booked in with an estimate. From then on, recording at receipt and issue keeps the stock up to date.
