Construction and installation: AI enquiry assistant for floor coating contractors

An AI enquiry assistant for floor coating contractors that answers questions about loading after handover, cleaning and cure time from approved information, and brings in a colleague when a specific floor is involved.

Which questions floor coating contractors keep getting.

After handover, customers of floor coating contractors call with questions that often boil down to the same thing: when can the cupboard go back, can the car go in the garage yet, which cleaner can I use, is that white haze normal? Part of the answer is in the maintenance advice they were given. Another part depends on the floor, the system and that week's conditions. An assistant that answers everything might say a forklift can go on when the topcoat needed longer in cold weather. Yet nobody wants to wait for a call back on every simple question. The assistant has to handle general questions and pass project-specific ones on.

From question to answer or colleague.

Deciding what may be used

You choose the sources: maintenance advice per finish, general explanations of curing, frequently asked questions that have been checked. Manufacturer data sheets can be included if you want. Project data, prices and warranty decisions are deliberately kept out of the assistant's sources, so it never improvises on them.

Reading the question

The assistant decides whether it is a general question, such as which cleaner suits a matt coating, or one about a specific floor. For a general question it finds the answer in the sources and says where it comes from. When unsure, it asks about the system or finish.

Answering or passing on

If the question concerns when a specific floor can take load, a possible defect or warranty, the assistant passes it to a colleague. It summarises what the customer has said and asks for a photo if that helps. The colleague takes over with full context.

On your own information, with a person behind it.

Floor coating contractors have maintenance advice per finish, manufacturer data sheets and staff who answer the same questions often. The assistant only uses what you approve. Manufacturers remain owners of their sheets. Questions passed on arrive in the mailbox or customer system you use, with a summary and any photos, so your colleague does not have to ask again. The answers themselves can be read back too.

After handover only or before as well

An assistant for existing customers focuses on care and loading after handover. An assistant on the website also helps visitors who still have to choose. Those questions differ: which system suits my garage, can coating go over tiles. Starting with one group makes it easier to get the sources right.

Assessing photos or not

Customers sometimes want to send a photo of a mark or haze. The assistant can pass that photo on, but does not judge it as a defect or a normal effect itself. That needs expertise and knowledge of the floor. A colleague looks at the photo and gets in touch, and the customer is told so.

Formal or personal tone

Homeowners appreciate a friendly, simple explanation. Facilities managers want a short, businesslike answer. The assistant can adapt its tone to how the question is asked, but the content stays the same and comes from the same approved sources. Nobody gets different advice because of a different tone.

What the AI assistant may answer.

The assistant answers questions about cleaning, maintenance and general curing times from sources you have approved, and passes on questions about a running job with a summary and photo. Before going live, we ask together how to clean a matt poured floor, and report a customer who still has a sticky patch after a week, which should land with a colleague. Questions from website visitors can be added later.

Can the assistant say when our floor can take load?

It can give general times per system as stated in the approved sources, with the caveat that temperature and humidity play a part. For a specific floor it refers to the handover message or passes the question to a colleague who can check the job card.

What if a customer reports a defect through the assistant?

The assistant does not judge defects. It asks for a description and photo, summarises the report and passes it on. A colleague gets in touch. A complaint reaches the right person quickly, without the customer getting a premature answer.

Can we see which questions are asked most often?

Yes. Conversations can be reviewed and grouped. If questions on a topic keep coming back, the maintenance advice can be made clearer or a source added. Questions passed on show where the assistant deliberately stops.

How do we keep the information up to date?

A named colleague manages the sources. When a manufacturer changes an application instruction or your maintenance advice changes, the source is updated and the assistant uses the new version. Old versions are no longer used in answers.
