Food and specialist retail: Digital job cards for fishmongers
Digital order sheets for fishmongers that show the preparation, the weighed weight and the substitute agreement for each order, from the back room to the collection counter.
What a job card for fishmongers should hold.
At fishmongers, an order passes through several hands. One person takes it, another fillets, someone wraps and someone takes payment. On paper, details get lost along the way: that the customer wanted the plaice without the head, that she agreed to halibut if there was no turbot, or that the parcel came out heavier than ordered once weighed. Notes get wet, stick to the wrong bag or stay in the back room. At the counter, staff then do not know whether a substitute was agreed or whether the customer is about to be annoyed. And when something different was supplied, there is no way to trace who decided it.

Order sheets per collection day
Each order goes on an order sheet with the fish, quantity, preparation, collection time and the substitute agreement. In the back room they appear in the order they need making. Whoever starts on one marks it as in progress, so two people do not do the same job.
Record weight and deviations
After preparation, the actual weight is entered. If it differs noticeably from what was ordered, or a substitute was used, the sheet asks for a short reason. If no substitute was agreed, the counter gets a prompt to ring the customer before the parcel is wrapped.
Hand over to the collection counter
A finished parcel gets a label with name and collection time and a status visible at the counter. When the customer arrives, staff see exactly what is in the bag, the weighed weight and whether anything was swapped. They can explain it themselves instead of leaving the customer to find out.
No more paper and loose photos.
Many fishmongers use a scale that prints labels and a till where payment happens. The order sheet does not sit on top of those but alongside them: it follows the order until the parcel is ready. If the scale can pass on the weight, we use that; otherwise staff copy it from the label. The till stays the place where people pay. The order sheet keeps the agreements with the customer and what was actually made.
Screen in the back or printed sheet
A screen updates itself, but wet hands and tablets do not mix well. A printed sheet that travels with the order sometimes works better in a wet room, as long as deviations are entered afterwards. Many shops combine both: print for the back room and tick off on a screen at the counter.
Substitute agreed upfront or on the spot
A substitute agreed when ordering can be applied by back room staff themselves. If nothing was agreed, the customer has to be rung, which costs time on a busy morning. The more orders arrive with a substitute agreement already in place, the fewer last minute calls you need to make.
Tolerating weight differences or always flagging
Fish cannot be cut to the gram. The question is from what difference the customer should hear about it. A set tolerance per product type stops every small deviation becoming an alert, while larger differences are passed on in advance. You set it per type, because a salmon steak cuts differently from whole prawns.
What goes on the job card.
The job card holds the order sheet with preparation and substitution agreement, a field for the weighed weight and a status that is visible at the counter. Before the shop works with it, we try it together on an ordinary morning and with an order whose fish was substituted without agreement, to see whether the alert reaches the counter in time. The link with the scales and labels per order can be added once filling it in runs smoothly.

Explore pricing and optionsDo we have to put a tablet in the back room?
Not necessarily. A printed order sheet works too, as long as the weighed weight and any substitute are entered afterwards, for example at the counter. A waterproof screen on the wall is handy when lots of orders run at once, but it is not a condition for getting started.
How does the counter know something was swapped?
The order sheet marks the line where a substitute was used, with the reason and whether the customer approved it in advance. At the counter that line is clearly highlighted. If it was not agreed, staff will already have had a prompt to call the customer.
Can the scale send the weight automatically?
That depends on the scale. Some models can send weight and item, others only print a label. Where sending is possible, we connect to it. Otherwise staff type the weight in, which in practice takes very little time when it is just one number.
Can we see later who prepared an order?
Yes. Every status change records who made it and when. If a customer comes back with a question about the preparation or the weight, you see who prepared it and which deviation was noted. That also helps spot recurring mistakes without pointing fingers.
