Food and specialist retail: Scheduling software for fishmongers
Scheduling software for fishmongers that spreads preparation slots and collection times across the people behind the counter, so platters and fillets are ready when customers walk in.
What makes scheduling hard for fishmongers.
At fishmongers, two kinds of work compete for the same pair of hands. Customers at the counter want serving straight away, while orders need preparing: filleting fish, dressing platters, peeling prawns. On an ordinary Tuesday that sorts itself out. The day before New Year's Eve, or a Friday packed with orders, it falls apart: platters get dressed while the customer is already waiting, or filleting lands on someone who should be serving. Orders take very different amounts of preparation, yet they are sorted by collection time rather than by how much work is in them. So you only see the crunch once it has arrived.

Estimate the work in each order
Every order gets an estimate of the work involved: weighing a few steaks is quick, dressing a large platter or filleting ten kilos is not. The estimate comes from standard times per product and preparation, which the shop maintains. You can then see how much preparation time is already promised for each part of the day.
Fit preparation around counter trade
For each day the shop sees when the counter tends to be quiet and who is working. Preparation goes into those quieter blocks, with the collection time as the hard deadline. Whoever starts early sees which platters come first. If someone is off sick, it is immediately clear which orders are at risk.
Spread collection times
Collection slots are not unlimited. When a slot is full, or the preparation for it no longer fits, the customer can no longer pick it and is offered another time. On busy days that prevents a queue at the collection point that coincides exactly with the biggest rush at the counter.
Alongside your calendar and your team.
Rotas usually live in a spreadsheet or a rota app, orders in a notebook or the order form, and opening hours on the door. The schedule uses the rota as its source for who is in and the orders as its source for the work. The shop owns the standard times per product: whoever runs the back room knows best how long a platter takes. We keep the number of screens small so the schedule can be kept up to date between jobs.
One standard time or per person
An experienced filleter works faster than a Saturday helper. You can use one average time per product, which is simple, or vary it per person. For most shops an average is enough, with a separate category for work only certain people do, such as filleting large flatfish.
Customer picks a time or the shop assigns
Let customers choose freely and every order lands on the most popular time. Assign times yourself and it feels less customer friendly. A middle way is a limited number of places per slot, so customers choose from what is actually possible. Around the holidays that limit can differ from an ordinary week.
Everything ahead or partly on the day
Some preparation can be done the day before, such as dressing cold platters, while fresh fillet is best cut that morning. The schedule can say per product how far ahead it may be done. That spreads the work without giving up on how fresh the fish is.
What we set up in the schedule.
Per day the planning shows orders with their preparation time next to who is working, and collection slots that are full close. An ordinary Friday and a day when a member of staff is ill are replayed together, so it becomes visible which orders would then be late. A separate holiday view, in which preparing platters is spread over several days, can be set up before the first busy December.

Explore pricing and optionsDoes every preparation need a standard time?
Only those that come up regularly and genuinely take time, such as filleting, dressing platters and peeling prawns. Quick jobs like weighing and wrapping can stay outside the schedule. A rough estimate is enough to begin with; after a few busy days you will see where the times need adjusting.
How does the schedule cope with the holiday rush?
For those days you can set different slots, fewer orders per slot and extra people on the rota. The schedule shows which platters can already be dressed the day before. That way the final morning is not filled entirely with work that could have been done earlier.
Can staff see on a screen what to prepare?
Yes. A tablet or screen in the back room can show the orders for each part of the day, sorted by collection and preparation time. Whoever finishes an order ticks it off, so the person at the counter knows what is ready when the customer arrives.
Does it work if we take no online orders?
Yes. Orders that come in by phone or at the counter go into the same overview. The schedule is about the work in the shop, not the channel. If an online order form is added later, it feeds into the same list without changing the schedule.
