Food and specialist retail: Customer portal for fishmongers

A customer portal for fishmongers where regulars and restaurants see their order confirmations, preparation choices and past orders, and can adjust them themselves.

Customer portal for fishmongers. A customer portal with documents, status and a decision point. Example with demonstration data.

What customers of fishmongers want to see.

Fishmongers have regulars who order almost the same thing every week: a restaurant that takes deliveries on Tuesday and Friday, a family that collects salmon steaks every Saturday. Repeating the whole order each time is tedious, and a change often travels by a quick message that gets missed in the rush. A chef wants to see whether tomorrow's order is confirmed and which fish was substituted, but has to phone to find out. People who ordered a party platter want to look back at exactly what they chose. Without one place for that information, every question goes through the counter or the phone.

Who sees what

A private customer sees only their own orders. A restaurant can give several people access, such as the head chef and the sous chef, who may both order but need not both see invoices. The shop sets those rights when it creates the account.

Confirmation and choices together

Each order shows its status: received, confirmed, being prepared or ready. The customer sees their preparation choices, the agreed substitute and, after weighing, what is actually being supplied. A regular order can be copied to a new day and adjusted instead of typed in again.

Changes until a set cut off

Until a moment the shop decides, customers can change or cancel an order themselves. After that, a change becomes a request the shop has to approve, because the fish may already have been bought or prepared. Everyone knows how long something can still be changed.

Less email, the same records.

The portal shows the orders from the same software in which the shop records them, and only what belongs to the customer who is logged in. Invoices and payment status are there too, because they are made in the same software. If restaurants now order through a purchasing platform, at the start we set out how those orders appear in the same overview. Customers own their choices; the shop owns what was confirmed and supplied.

Portal for restaurants or for everyone

Restaurants order often and want an overview, private customers order a few times a year and mainly want a confirmation. A portal for everyone is possible, but for private customers a link in the confirmation email is usually enough. Many shops start with a portal for trade buyers and give private customers just an order link.

Repeat orders automatic or confirmed each time

An order that comes back automatically every week saves work, but the customer then has to change it actively when they need less. A repeat the customer confirms each time is safer for the shop, which would otherwise buy fish for an order that was no longer wanted.

Log in with a password or a link

A password suits regular trade customers who open the portal often. For someone who orders a platter once a year, a personal link per order is handier than an account. The portal can offer both depending on the kind of customer, and a link expires once the order has been collected.

What customers find in the portal.

Business customers see their orders with status and preparation choices in the client portal, can repeat an earlier order and run into a change deadline per order. Together we replay a restaurant ordering an ordinary week, and a change that arrives after the deadline. The invoice overview and a simple order link for private customers, so that someone ordering once a year can also see their choices again, can be switched on later.

Can a restaurant give several staff members access?

Yes. A trade account can have several users, each with their own rights. The chef can order and make changes, while someone in the office only sees invoices. The shop sets up who may do what together with the customer, so no orders come in from someone who is not responsible for them.

What happens if a customer changes an order too late?

After the cut off the customer can still send a request, but it is not processed automatically. The shop sees the request and decides whether it can still be done. The customer then gets a message saying what will be supplied, so there is no confusion about what is in the order.

Do customers see the actual weight of their order?

Yes, once the order has been weighed. The portal shows what was ordered and what is actually ready, including any substitute. A chef can see before delivery that a different species is coming and adjust the menu.

Do private customers need to create an account?

No. For private customers a personal link in the confirmation email can be enough to see their order and change it until the cut off. An account is mostly useful for customers who order often and want to repeat earlier orders.
