Construction and installation: Enquiry form for facade cleaning contractors

An enquiry form for facade cleaning contractors that asks about facade material, contamination, working height and access, so the planner knows which test area and which equipment are needed.

What makes an enquiry complete for facade cleaning contractors.

Enquiries to facade cleaning contractors often contain just an address and the question of whether the facade can be cleaned. Whether it is a detached house or a four-storey block, whether the facade fronts a busy pavement or sits behind a front garden, and whether it was ever cleaned or treated before all stay unclear. The planner has to visit just to look, while part of those questions could have been answered with a photo and a few choices. It is also often unclear who decides: the owner, a tenant asking on the landlord's behalf or an association board that still has to meet.

From form to assessed enquiry.

Describe facade and soiling

The form first asks what is on the facade, with recognisable examples: green growth, black crust, white bloom, rust stains, graffiti. Then the enquirer picks the material, such as brick, natural stone, concrete or render, with an 'I don't know' option and a close-up photo.

Height, access and client

Follow-up questions cover the number of storeys, what lies in front of the facade and whether a cherry picker can stand there. The form also asks who the client is: owner, association or property manager. For an association the office sees at once that a members' decision may be needed before an order follows.

Ready for visit or test area

The planner receives the enquiry with photos, soiling type, material, height and access. From that he decides whether to look first or book a test area straight away, which agents and equipment to bring, and whether the use of the pavement might need arranging with the municipality.

Enquiries in one place, not the inbox.

Facade cleaning contractors receive enquiries by phone, email, a contact form and sometimes from a property manager sending a list of buildings. Those channels remain. The form becomes the fixed place where every enquiry takes the same shape; the office enters phone enquiries there too. Managers can submit several buildings in one go. Contact details and decision makers belong in your contact records, photos and facade details with the enquiry and later the quote.

Homeowner form or manager form

A homeowner asks about one facade and wants to know the cost. A manager may send a row of buildings in varying condition. One form for both quickly becomes too long or too thin. A split at the start, 'one building' or 'several buildings', keeps both flows clear.

Ask for masonry type or decide yourself

Many enquirers do not know whether their facade is handmade or machine brick, limestone or sandstone. Letting them guess produces wrong answers. A close-up photo with an object for scale is more reliable. The planner fills in the material, and the enquirer only says what they see.

Test area straight away or look first

For a simple brick facade with algae, the planner can book a test area from photos alone. For an old natural stone facade or unclear soiling, a first visit is wiser. The form flags which enquiries fall into which group, but the planner decides, and that decision is kept with the enquiry.

Which questions the form asks.

At the start the enquiry form for a single building asks for soiling type, material, height and access, and the office sees in an overview which items are still missing. Together we replay two enquiries: a terraced house with green growth, and an association reporting a block with graffiti on the plinth without making clear who may decide. A form for managers with several buildings and passing enquiries on to test area scheduling are switched on later.

What if the enquirer doesn't know the facade material?

They pick 'I don't know' and take a close-up photo, ideally with a coin or key for scale. The planner determines the material from the photo or at the first visit. A guess by the enquirer never becomes the basis.

Can tenants submit an enquiry too?

Yes, but the form then asks who the owner is and whether they know. A tenant can take the initiative, but the order usually comes from the landlord. That way you avoid drafting a quote for someone who is not allowed to decide.

How do we ask about earlier treatments?

With a simple question on whether the facade was cleaned, treated with a water repellent or painted before, and roughly when. An old repellent layer or paint residue affects the method. If the enquirer does not know, that is an answer too, and the planner checks it at the test area.

Can managers upload a list of buildings?

At the start a manager enters one building per enquiry. Uploading several buildings with address, material and soiling is something you switch on later. Such lists differ per manager, so we first look together at which details they usually contain.
