Transport and delivery: Digital job cards for express freight operators

Digital job cards for express freight operators that keep the confirmed express assignment, loading and waiting times and the recipient's signature together on the same trip.

What a job card for express freight operators should hold.

At express freight operators, the job often sits in a chat message from the planner, with the address in a separate text and the contact in a missed call. The driver knows where to go, but not who should sign for the load or what to do if the business is closed. Waiting time at loading is jotted on a scrap of paper or not at all. Afterwards, the office has no arrival time, no recipient name and no photo of the condition of the cargo. Those are exactly the details you need when a customer asks why a deadline was missed by a narrow margin.

Prepare the job in full

As soon as the planner confirms an express trip, a job card is created with addresses, deadline, cargo, contacts and special instructions such as a rear entrance or a gate code. The driver opens it on their phone and also sees the agreed waiting time. They no longer need to call on the way to check anything.

Log times and condition

On arrival at the loading address, the driver taps arrival and departure, so waiting time follows automatically. They take a photo of the cargo as loaded and note discrepancies, such as more packages than stated. On the road they can report a delay with a reason, which the planner sees immediately.

Sign off and review

On delivery the recipient signs on screen, with name and time. If the recipient refuses or nobody is there, the driver records that with a photo of the location. The planner reviews the card for missing parts before the trip counts as completed and moves on to invoicing.

No more paper and loose photos.

Drivers usually have a work phone with a navigation app, and sometimes a scanner or the app of a transport system. The job card does not replace that navigation, but passes the address to the app the driver already uses. Planning remains owner of the job and the agreements; the driver owns the times, photos and signature they record. That data goes back to the transport system or the office as evidence for the trip.

Signature or photo as proof

An on-screen signature with a name feels familiar to most recipients. At a closed business or an agreed drop point without anyone present, a photo of the cargo on location is the only proof. Many express operators use both and agree per client what counts as sufficient, so no doubt arises later on.

Fill in everything or only exceptions

A driver in a hurry will not fill in long forms. A job card that only asks for times and sign-off, with a separate button for exceptions, gets used far more than one with ten mandatory fields. Whatever the driver skips must then be deliberately optional, not something that is only missed at invoicing.

Work offline or always connected

On an industrial estate or in a car park, signal sometimes drops. A job card that stores times and photos offline and sends them later saves the driver from waiting. It does need a clear sign on screen when something has not yet been sent, so the planner does not think the trip has stalled.

What goes on the job card.

Every confirmed express trip gets a job card with all instructions, arrival and departure times, a photo at loading, sign-off on delivery and a check by the planner. Your own instructions and check points go in at the start. It is checked against an ordinary dedicated trip and a trip where the recipient is absent and the load has to come back. Several stops on one card, scanning with handheld scanners and sending the proof of delivery to the customer automatically are added when you are ready for them.

Can a driver see a trip with several stops on one card?

The job card is set up for the dedicated trip from one collection address to one delivery address. Trips with intermediate stops can be added when you run them, with separate times and sign-off per stop. That keeps the card as simple as possible for the most common express work.

What if the recipient refuses to sign?

The driver records that the signature was refused, with the person's name if known and a photo of the delivered cargo. The planner gets a notification and can contact the client. The card stays open until the follow-up has been agreed.

Do clients see the job card as well?

Not the whole card. Internal notes and the waiting time record are for planning and the office. The client receives the proof of delivery with name, time and a photo where relevant, by email or through the customer portal. You decide per client exactly what is shared.

Does the card work for drivers we hire in?

Yes, a hired driver can receive a link to that single card only, without access to the rest of the schedule. They record the same times, photos and sign-off. Once the job is done, access lapses, so no stray accounts remain for people who drove for you once.
